The Front Office Assistant Manager is responsible for assisting the Director of Rooms in managing the front office function; ensure staff is properly trained including service expectations, hotel facilities and services, local directions, property management, and reservations systems, safety and emergency procedures, etc.

聽聽聽聽聽聽聽聽 Ability to stand and sit for prolonged periods of time.

聽聽聽聽聽聽聽聽 Ability to perform tasks requiring sustained repetitive motion and/or fine motor skills.

聽聽聽聽聽聽聽聽 Ability to communicate clearly and effectively with guests regarding all aspects of their hotel stay.

聽聽聽聽聽聽聽聽 Ability to interact with guests and other employees in a courteous, empathetic, and discreet manner.

聽聽聽聽聽聽聽聽 Ability to read and write effectively, including understanding diagrams.

聽聽聽聽聽聽聽聽 Ability to perform basic arithmetic, including the use of percentages.

聽聽聽聽聽聽聽聽 Ability to understand and execute all safety and emergency procedures (i.e.: fire, crowd control, inclement weather, and bomb threats).

Requirements

聽聽聽聽聽聽聽聽 Excellent phone & verbal communication skills.

聽聽聽聽聽聽聽聽 Minimum of 3- 5 years experience in a similar role at an upscale hotel

聽聽聽聽聽聽聽聽 4-year college degree preferred

聽聽聽聽聽聽聽聽 Previous supervisory hotel聽experience preferred.

聽聽聽聽聽聽聽聽 Flexible schedule- must be able to work nights/overnights, weekends, holidays

聽聽聽聽聽聽聽聽 Oversees hotel availability in the local area.

聽聽聽聽聽聽聽聽 Ensures that all appropriate computer-generated reports are printed in a timely manner.

聽聽聽聽聽聽聽聽 Oversees preparation of VIP arrivals.

聽聽聽聽聽聽聽聽 Oversees preparation for group arrivals.

聽聽聽聽聽聽聽聽 Ensures the credit check report is completed on every shift.

聽聽聽聽聽聽聽聽 Oversee airline crew arrival preparation process

聽聽聽聽聽聽聽聽 Report/log all guest issues in weblog/groupme and update gust profiles accordingly

聽聽聽聽聽聽聽聽 Ensures that all room discrepancies are cleared.

聽聽聽聽聽聽聽聽 Oversees blocking of special room requests for next day鈥檚 arrivals.

聽聽聽聽聽聽聽聽 Maintains a neat and orderly control desk and area.

聽聽聽聽聽聽聽聽 Consistently presents a polished and professional role model image to guests, coworkers, and other departments.

聽聽聽聽聽聽聽聽 Complete job duties as listed on their shift checklist in a timely manner and alerts the Director of Front office if assistance is needed.

聽聽聽聽聽聽聽聽 Perform any other duties as assigned by the Front Office Manager, Director of Operations, and General Manager.

聽聽聽聽聽聽聽聽 Coordinates out of order rooms with housekeeping and engineering

聽聽聽聽聽聽聽聽 Ensures posting of all charges.

聽聽聽聽聽聽聽聽 Inspects associates at the beginning of each shift to ensure grooming standards are met.

聽聽聽聽聽聽聽聽 Conduct pre-shift meetings before the start of each shift

聽聽聽聽聽聽聽聽 Ensure that the department鈥檚 schedule is prepared and posted by the weekly deadline

聽聽聽聽聽聽聽聽 Ensure that Travel Pass enrollment weekly and monthly goals are met

聽聽聽聽聽聽聽聽 Review Guestware, update Travel Pass member status and prepare welcome letters accordingly

聽聽聽聽聽聽聽聽 Ensure that weekly advocate goals are met

聽聽聽聽聽聽聽聽 Monitor ADP, correct missing punches, and approve payroll

聽聽聽聽聽聽聽聽 Assist in controlling expenses and minimizing waste in all areas of the front office. Participate as needed in the preparation of the annual departmental operating budget and financial plans which support the overall objectives of the hotel.

聽聽聽聽聽聽聽聽 Conduct daily guest room and suite inspections ensuring Sonesta Standards are being met.
