POSITION SUMMARY:
This role supports the effective coordination and implementation of the NMDP Courier Program. In coordination with the Logistics team and other cross-functional team members, this position is responsible for ensuring cellular products get to their intended destination on time and in accordance with specified requirements.
ACCOUNTABILITIES:Â
Program Administration:
•    Reviews and approves staff and volunteer courier expense reports in Concur.
•    Addresses any support & coaching needs in relation to Concur expense reporting
•    Creates guidance for Concur processes
•    Ensures that courier credo coolers meet required standards – i.e: is not expired or damaged
•    Ensures that courier inventory is available to all active couriers
•    Supports account management in various databases, like Salesforce & Oracle
•    Takes initiative to address challenges as they arise
Courier Management:
•    Ensures that all courier activities are conducted according to NMDP standards, policies, travel guidelines, international policies, and regulatory agency requirements
•    Works collaboratively with the team to ensure courier documentation is submitted & filed
•    Works collaboratively with the team to ensure that annual training requirements are met by each courierÂ
•    Main contact for questions from couriers about Concur Expense program
•    Main contact for questions from AP – Finance in regard to courier expense reports
•    Manages extra responsibilities of BioTherapies Trip Reports
Other:
•    May elect to perform actual courier duties after being trained as a NMDP Staff courier.
•    Models behavior supporting the strategic goals and initiatives of the NMDP.
•    The role may require access to Personal Medical Information protected by multiple security and privacy regulations. Personnel are required to control this data in a manner outlined in the NMDP Information Security Policy and NMDP Donor and Patient Confidentiality SOP.
•    Other duties as assigned
REQUIRED QUALIFICATIONS:
Knowledge of:
•    Advanced skills in Microsoft Office especially Excel, as well as OneNote, Adobe Pro, , etc.
•    Excellent proofreading and editing and demonstrated customer service skills.
•    Excellent program coordination and problem-solving skillsÂ
•    Knowledge of quality assurance principles and practices
•    Knowledge of Best Practices for Volunteer management
Ability to:
•    Develop strong relationships (internally and externally) and collaborate cross-functionally
•    Work independently; Self-motivated and willing to take initiative to complete tasks with minimal directionÂ
•    Communicate effectively and demonstrate strong organizational and coordination skills
•    Provide excellent customer service
•    Demonstrate excellent training, mentoring and writing skills
•    Demonstrate skills in facilitating group dynamics, problem solving and team building
Education and/or Experience:
•    Bachelor’s degree in non-profit management, database management, healthcare, business or related area
•    2-3 years of experience in a volunteer coordination/management role
PREFERRED QUALIFICATIONS:
•    Certified in Volunteer Administration (CVA)
•    Experience in a healthcare or non-profit environment desired
