Position Summary


We believe transformational change requires strong leadership, operational excellence, and meaningful community partnerships. The Executive Office Administrator serves a critical role as a trusted partner and strategic administrative lead to the President & CEO while also providing high-level support to the Chief Operating Officer (COO). This role manages the day-to-day operations of the CEO and ensures systems, workflows, and communications effectively support executive leadership priorities and organizational effectiveness.


The Executive Office Administrator is responsible for executive scheduling and coordination, board and governance support for the CEO, as well as, administrative support, cross-functional project management, and operational follow-through for the COO. This role operates with a high level of judgment, discretion, professionalism, and initiative and is expected to anticipate needs, streamline processes, and proactively support organizational priorities.

Key Responsibilities 


CEO & Office Management:

  • Serve as a strategic partner and primary point of coordination for the President & CEO.
  • Manage the CEO’s calendaring, scheduling, and prioritization of leadership time.
  • Oversee systems, workflows, and communications that support the CEO and Executive Office operations.
  • Prepare briefings, summaries, reports, and materials to support executive decision-making.
  • Manage the CEO’s correspondence and proactively anticipate emerging priorities.
  • Troubleshoot meeting and communication technology issues as needed.

Board Governance & Organizational Coordination:

  • Serve as liaison between the CEO and the Board of Directors, Coordinate Board, Executive and Governance committee meetings, including logistics, materials, agendas, and follow-up actions.
  • Prepare and maintain governance documentation, board records, and meeting minutes.
  • Coordinate executive-led projects, retreats, leadership meetings, and organization-wide initiatives.

External Relations & Stakeholder Support:

  • Coordinate external meetings, travel, speaking engagements, and partnership activities for the President & CEO.
  • Partner with the Development team to ensure timely communication and relationship management with funders and key stakeholders.

COO & Operational Coordination Support:

  • Provide administrative and coordination support to the COO to advance operational and collective impact priorities.
  • Track key organizational initiatives, deliverables, and timelines.
  • Support development and maintenance of systems that improve workflow efficiency, streamline processes and create operational consistency.
  • Coordinate cross-departmental communication and alignment on priorities and timelines.
  • Support planning and preparation for operational meetings and organizational initiatives, including Organizational Leadership Team and Executive Leadership Team meetings.

Requirements

Qualifications


Required Experience & Skills:

  • Minimum of five years of professional experience in an executive administrative, operations, or leadership support role within an organization of similar size or complexity.
  • Demonstrated experience supporting senior-level executives and managing highly detailed administrative responsibilities.
  • Strong written and verbal communication skills with the ability to prepare summaries, reports, presentations, and correspondence.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • High degree of professionalism, integrity, discretion, and accountability.
  • Proficiency with G-Suite, Microsoft Office Suite, Zoom, Adobe Acrobat Pro, and other project management/collaboration tools.
  • Ability to anticipate needs, solve problems proactively, and maintain confidential information.

Preferred Qualifications:

  • Associates degree in a related field preferred.
  • Experience supporting a Board of Directors and governance-related functions strongly preferred.
  • Experience working within for-profit, nonprofit, education, and/or community-centered organizations preferred.

Working Conditions

  • This is a hybrid role, and the individual will complete a portion of their work onsite at the NAZ Main Office or a partner site located in Minneapolis, MN.
  • Occasional evening and weekend work may be required for Board meetings, organizational events, and community engagement activities.
  • Limited local travel may be required.
  • Role includes regular use of office equipment and routine physical activity such as walking, sitting, bending, lifting, and carrying materials for meetings and events.
