JOB TITLE: Student Administrative AssistantLOCATION: Minneapolis CampusPAY RATE: $16.50HOURS: Must be able to work 2-3 days for at least 2 hours at a time. Flexible hours.
JOB SUMMARY:
Dougherty Family College is looking for a student administrative assistant to be the primary point of contact in our office and should present a professional and welcoming image to faculty, students, staff, and the public. This position will perform tasks as assigned to support the faculty and staff at the Dougherty Family College. We are looking for an individual who can work under minimum supervision, take initiative and responsibilities, and have strong leadership skills. Office/clerical experience is a plus. This person will be under the supervision of the Operations Manager and will provide support for the College Transfer Counselor and College Persistence Counselor.
ESSENTIAL FUNCTIONS:
- Must be always present at the front desk to serve as the first point of contact. Greet and direct visitors to appropriate faculty/staff and answer a variety of inquiries.
- Responsible for checking-in with supervisor before and at the end of each work shift.
- Responsible for receiving and responding to telephone calls and in-person inquiries in a professional manner.
- Takes accurate messages and routes inquiries/calls to appropriate offices, faculty, or staff.
- Monitor and manage DFC’s main phone line and email account. Screen voice messages and emails and respond/forward as appropriate.
- Assist in creating office signs, event flyers, and posters.
- Assist with organizing and setting up events and meetings.
- Assist in greeting and opening building doors to visitors and escorting them to their destination.
- Assist with calendar scheduling and reserving rooms using 25Live.
- Prepare materials as requested, including, but not limited to, photocopying, faxing, and scanning.
- Clean and organize the Dean’s suite, kitchen, and the student areas/breakout rooms on a daily routine.
- Take office inventory and stock supplies in DFC spaces.
- Submit request for services (facility services, ITS, etc.)
- Receive mail/packages and distribute them to faculty/staff mailboxes. Also responsible for breaking down empty boxes and recycling them.
- Create, file, and maintain DFC records and documents.
- Maintain and troubleshoot printers, copiers, and other hardware.
- Support DFC faculty, staff, and students. May assist the deans, Internship Program Director, Development Director, and Admissions Director in the deans' suit on a need base.
- Other miscellaneous duties as assigned by supervisor, College Transfer Counselor, and College Persistence Counselor.

- Ability to work independently with minimal supervision and collaboratively as a team.
- Must be detail-oriented, organized, and dependable.
- Must have excellent communication skills, both verbal and written.
- Must have customer service, leadership, and professional skills.
- Must be culturally competent and have experience with diverse communities.
- Able to prioritize tasks to meet deadlines while producing accurate, quality work.
- Proficient in Microsoft Office applications, including Outlook, Word and Excel.
- Ability to be flexible and adaptable to changes and requests.
