Scaled Composites is seeking a Travel Coordinator/Administrative Assistant to join our team of qualified, diverse individuals.

Summary: 

Founded in 1982 by legendary aircraft designer Burt Rutan, Scaled Composites is an aerospace company continually working to push boundaries, prove out ideas, and influence the future. We are a rapid prototyping and manufacturing facility, designing, building, and testing proof-of-concept and prototype vehicles. We have flown an average of one new aircraft type per year over our 40-plus year history such as Proteus, GlobalFlyer, SpaceShipOne, Model 401, and Stratolaunch.

Duties and Responsibilities may include, but are not limited to: 

  • Processes all employee-related travel requests
  • Processes all recruiting-related travel requests
  • Purchases/reserves all company transportation and accommodations
  • Contracts and coordinates with hotels, airlines, and vehicle rental agencies for lowest corporate rates/fares available
  • Stays informed of all travel related issues and alerts management of changes within the travel industry
  • Creates expense reports for travelers, collects and maintains appropriate receipts and verifies company travel invoices; coordinates with the accounting department for employee reimbursements
  • Monitors and ensures compliance with Scaled’s Travel Policy and Procedures
  • May at times be asked to support staff in assigned project-based work
  • Schedule is flexible to accommodate work after hours and on weekends as necessary
  • Serves as backup to the admin team
  • Supports administrative and departmental projects and initiatives as directed
  • presentations, etc.

Required Qualifications: 

  • Self-starter who is goal oriented.
  • Ability to prioritize a high volume of tasking and operate in a “fire and forget” atmosphere.
  • Maintains a high degree of confidentiality.
  • Ability to work independently in a dynamic environment.
  • Ability to exercise good judgment with minimal oversight.
  • Proactively completes assigned tasking, including on-the-fly problem solving and issues that require critical thought.
  • Demonstrated capability organizing a complex schedule and varied priorities.
  • Must be able to work well with a wide variety of personalities across all departments.
  • Must be proficient in Microsoft Office programs (MS Word, MS Excel, MS PowerPoint and MS Outlook).
  • Prior experience in travel logistics preferred.

Essential Job Functions: 

  • Requires mobility and the ability to bend and reach 
  • May infrequently require lifting, carrying, pushing, and/or pulling materials weighing up to 30 pounds. 
  • Manual dexterity and coordination are required; repetitive hand motion (e.g., to operate computer keyboard) 
  • Vision at close distances and the ability to adjust focus for prolonged periods (i.e., computer screen)
  • Ability to remain sedentary or stationary for prolonged periods of time 
  • Ability to write for extended periods of time 
  • Ability to work in an office setting for prolonged periods of time
  • May be asked to carry up to 20 lbs. up and down a flight of stairs on a regular basis such as files, books, office equipment, etc. 
  • Occasional reaching overhead and lifting up to 15 pounds
  • Ability to converse and communicate information with others
  • Occasional exposure to chemical vapors and/or fumes in low non-hazardous concentration
  • Potential to climb up and down steps on a daily basis
  • Must be able to read and understand SDS
