Description
Summary
Supervises the daily operations of the facility to ensure smooth, efficient operations. Works closely with physicians and administration to ensure that quality patient care is maintained in a fast-paced, and growing practice. Ensures that patient appointment utilization is maximize for all providers daily.Â
Essential Functions:
- Coordinates physician office operations.Â
- Facilitates communications to address operational issues on a timely basis.Â
- Implements and monitors compliance with office policies and procedures.Â
- Ensures all equipment is inventoried and maintained.
- Continually to improve patient satisfaction ratings.
- Works front office as needed to ensure efficient patient flow.
- Ensure all incoming calls are answered timely and handled appropriately; includes but not limited to scheduling appointments, reschedules, patient concerns, routing calls to appropriate destination within the company etc.Â
- Ensure provider schedules are being worked 2 weeks in advanced to fill available slots.
- Ensure confirmations are being performed prior to patient arriving
- Ensure âNO SHOWSâ are worked every day
- Ensure recall reports are generated and worked Â
- Works closely with physicians and administration to ensure highest quality clinical care.
- Help coordinate needed building maintenance/repairsÂ
- Hold coaching sessions and performance reviews with direct reports.
- Ensure the cash drawer is managed and balanced at the end of each day.
- Must keep abreast of changing organizational needs as it relates to business systems, legal practices, HIPAA compliance, OSHA, and technology.
- Perform other duties assigned as required by Administration.

Requirements
Education and Experience:.
- Highschool diploma or GED required.
- Medical practice experience required.
- Ophthalmology/Optometry practice experience highly preferred.
- Strong positive interpersonal skills; high degree of initiative, sense of organization and ability to identify and resolve problems.Â
- Individual must be able to work on discrete tasks in a high volume, high-pressured environment. Good judgement and professional demeanor a must.
