Join a mission-driven organization that supports Civil Air Patrol’s nationwide operations! We’re seeking a Membership and Program Services Coordinator to provide administrative, operational, and customer support for membership, education and training, cadet achievement, and adult member recognition programs. This position is responsible for maintaining accurate member records, processing achievements and certificates, education and training equivalencies, member actions, and ensuring compliance with organizational regulations and policies. 


Salary Range: $45,000 – $56,000 (annually), based on experience and qualifications.


What You’ll Do

 

  • Administers and supports member recognition, education and training, and cadet achievement programs by maintaining accurate records, processing achievements, certificates, and equivalencies.
  • Evaluates and records professional military education, specialty track, and other approved equivalencies in accordance with established regulations and policies.
  • Serves as a subject matter expert on all membership regulations, policies, and procedures, education and training equivalencies, and cadet milestone achievements. 
  • Manages certificate and recognition program operations, including coordinating certificate production and distribution, conducting cost analyses, maintaining budgets, ordering, and tracking supplies, and ensuring the timely issuance of awards and recognition materials.
  • Prepares correspondence, reports, presentations, and other administrative documents; independently drafts and distributes routine communications; and gathers and organizes information to support meetings, conferences, leadership decisions, and program activities.
  • Identifies opportunities to improve processes for efficiency, accuracy, and customer service, and provides recommendations to enhance program administration and member support operations.


What We’re Looking For

 

  • Education: High School Diploma or GED required. 
  • Experience: Minimum of 3–5 years of progressively responsible administrative, program management, membership services, records management, customer service, or related experience, preferred.

Combination of education, training, and relevant experience will be considered.

Relevant experience includes:

    • Maintaining and auditing records for accuracy and compliance.
    • Processing transactions and maintaining databases in a high-volume environment.
    • Interpreting and applying policies, regulations, and procedural guidance.
    • Providing customer service, resolving issues, and responding to inquiries from diverse stakeholders.
    • Preparing reports, correspondence, presentations, and other administrative documentation.
    • Knowledge and/or experience with Civil Air Patrol membership, education and training, or cadet programs regulations and programs preferred. 
    • Working with volunteers, nonprofit organizations, membership associations, or educational/training programs preferred.
  • Certifications: None 
  • Other: Valid driver’s license; ability to pass a comprehensive background check.
