POSITION SUMMARY
Provides clerical support including typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities.


  • Monday to Friday: 8am to 12pm
  • Must pass background check and Drug testing
  • Need reliable car with auto insurance, it may involve some driving                                        
  
REPORTS TO: Administrator
 
QUALIFICATIONS
  • High school graduate; college degree
  • experience is preferred but willing to train a right person 
  • Knowledge of computer is  preferred.
  • Speak, read, write, and comprehend English.
  • Demonstrated strong verbal, written and interpersonal communication skills.
  • Demonstrated ability to handle emails and phone messages quickly 
 
ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY

  1. Provides clerical support to agency management and supervisory personnel. 
    1. Prepares correspondence, reports, documents, and medical Plans of Care.
    2. Schedules appointments for management staff and schedules meeting rooms.
    3. Prepares updates to policies and procedures as directed.
    4. Prepares statistical reports as needed.
  2. Maintains inventory of office supplies and medical supplies. 
    1. Establishes agency standards and appropriate reorder points.
    2. Monitors supply needs and assures availability of supplies needed.
    3. Prepares client charge slips as directed and forwards them to the billing department.
  3. Assists with the billing process. 
    1. Assists with data entry of schedules for billing and payroll.
    2. Maintains current admission log.
    3. Monitors return of doctors’ orders.
    4. Enters all new clients into the computer system
  4. Assists with hiring process for direct care staff. 
    1. Provides initial telephone screening for applicants and sets up interviews if appropriate
    2. Requests references on applicants.
    3. Assists in orientation and training of new clerical staff.
  5. Performs job in compliance with agency policies and procedures as well as community and professional standards. 
    1. Accepts responsibility in accordance with the role of the Administrative Assistant.
    2. Assures compliance with applicable laws.
    3. Attends meetings and educational programs as required.
    4. Participates in the Agency quality improvement activities.
    5. Maintains confidentiality in all aspects of the job.
  6. Communicates necessary information to Supervisor and management team to ensure coordination of services and activities. 
    1. Attends clinical staff meetings as needed to communicate information needs as they relate to physician orders and other timely written reports.
    2. Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination.
    3. Assists with filing of documentation in the clinical record. Reports missing or incomplete charting.
    4. Participates and communicates with other departments to assure that tasks are accomplished.
    5. Performs additional duties and responsibilities as deemed necessary.
