Frier Levitt, established in 2000, is a national boutique law firm focused exclusively on Healthcare and Life Sciences. The Firm draws on its experience representing stakeholders across the entire healthcare spectrum. In the Life Sciences, Frier Levitt has represented pharmacies of all kinds and assisted with regulatory, transactional, and litigation matters. On the Healthcare side, the Firm's clients have included large physician group practices, hospitals, hospital medical staff, ambulatory surgery centers, laboratory companies, as well as the complete panoply of ancillary service providers. Frier Levitt attorneys are licensed in numerous states. The Firm has offices in Pine Brook, NJ, and New York City.

Due to recent growth, Frier Levitt is seeking a Legal Assistant for our Regulatory department in our Pine Brook, New Jersey, office

The successful candidate will work in our Pine Brook, NJ, office, and may be eligible to work one day at home per week after an onboarding period of approximately 60 days.

The Legal Assistant will be responsible for:

  • Managing attorneys' calendars, coordinating meetings and appointments; scheduling calls/meetings via Microsoft Teams
  • Contacting potential new clients to collect information and schedule consultation calls
  • Tracking attorney CLE credits, including scheduling CLE courses and submitting certificates of completion to the state(s); keeping records
  • Scanning, saving and uploading documents to our document management system (NetDocs) and utilizing Centerbase for billing, potential new clients, contact information and engagement letter monitoring
  • Answering direct phone lines in a timely and polite manner
  • Coordinating travel as necessary
  • Effectively and calmly communicating with staff, attorneys and clients
  • Back up other Legal Assistants when necessary

Requirements:

  • 3+ years of law firm legal assistant experience 
  • Ability to coordinate work assignments, prepare legal correspondence and documents, and organize and maintain files and records
  • Proficiency in Microsoft Office Suite, Adobe and DocuSign products; Centerbase or other legal billing software experience helpful
  • Some experience utilizing AI for daily tasks (e.g., Harvey, Claude, Co-Pilot)
  • Excellent communication, proofreading, and organization skills
  • Ability to prioritize assignments and tasks
  • Extremely organized, paying close attention to detail
  • Excellent verbal and written communication skills
  • Regulatory experience is not required
