Job DetailsLevel: ExperiencedJob Location: Morgantown Terminal - Morgantown, KY 42261Position Type: Full TimeEducation Level: High School diploma or GEDSalary Range: $20.00 - $25.00 HourlyJob Shift: Monday - Friday: 7:30am to 4:30pmJob Category: Admin - ClericalSchedule: Monday - Friday, 7:30am to 4:30pm Job purpose The Service Writer proactively and reactively coordinates the scheduling and performance of maintenance services in the KY Shop repairs for the fleet.  The Service Writer initiates services and repairs by ascertaining performance problems and services requested/required; verifying warranty and service contract coverages; developing estimates; planning technicians, scheduling outside vendors, reviewing and completing repair orders; and ensures a safe, productive, and timely performance of services.   Duties and responsibilities Coordinate with the Dispatch team, the Terminal Manager, and the KY Shop Manager to establish priorities and schedule appropriate repair services for the day/week. Perform daily checks of offsite work in progress. Schedule all offsite work for PMs, breakdowns, and DVIR (Driver Vehicle Inspection Report) report issues. This includes the following KTC terminals and accounts: KY IN KS UT account Coordinate and follow-up with outside vendors on a regular basis regarding outstanding scheduled repairs. Follow up and confirm that DVIR repairs occur within the following criteria: DOT violations – 24 hours Non-DOT violations – 5 business days Review, modify, and finalize Standard Repair Orders accurately within 24 hours of completion. Direct all questions to Foreman and Supervisor, as appropriate. Prepare repair order invoices for customers at time of updating the repair order status to Closed. This includes confirming the price table accuracy and the customer billing information. Answer incoming calls professionally and return all customer calls before the close of business each day.  Follow up with all customer inquiries within 24 hours. Open, track, process, and follow up with warranty claims including any additional information/parts/pictures. Enter credit card and EFS outside vendor repair orders daily. Maintain established stock limits and specialty orders within/for the specified shop using the TMT application. Enter repair details in the TMT application for onsite units and road service trucks. Perform cycle counts to maintain inventory accuracy for the KY Shop. Adept and proficient at TMT, TMW, and all required Microsoft Suite tools used. Process and complete Vendor Repair Orders accurately 10 business days. Knowledgeable and supportive of Safety, ELD/HOS, DOT, CSA to included communication with drivers. Support Drivers requirements, as applicable (examples: provide printed permits or mail paperwork to ensure timely billing) Regular Attendance & Punctuality. Provides professional interface with Customers – representing KTC at all times. Communicates with Dispatch, Financial Services & other depts. as necessary. Understand driver operations and the workload completed within their daily functions. Accessible 24/7. Accessible for a weekly rotation of After-hour Breakdown Line. Review and respond to emails in a timely manner. KPI – Key Performance Indicator   Planned versus unplanned repairs.
