Summary of Duties:
Responsible for greeting and providing a professional reception to patients, answering the telephone, scheduling appointments, registering patients, providing information, and collecting payments. In addition, the receptionist is responsible for a variety of clerical duties including: creating, maintaining, and filing patient charts, distributing reports, and sorting and distributing mail/faxes.
Essential functions:
- Greet patients in a warm and approachable manner creating a positive first impression
- Verify and update patient information including insurance information
- Make sure patients complete and sign all required forms
- Collect and process copays and outstanding balances
- Obtain insurance referrals when required by insurance
- Check patients out, make future appointments and give instructions as needed
- Run end of day reports ensuring day totals match collected amounts
- Answer telephones in a friendly and professional manner
- Register new patients in EPIC and make appointments
- Answer patientsā non-clinical questions or direct to appropriate person
- Scan documents into Epic
- Reschedule appointments as needed
- Medical Records (incoming and outgoing)
- Review incoming faxes and route to appropriate departments
- Read and reply to interoffice emails
- Maintain strict confidentiality and adhere to all HIPAA guidelines/regulations
- Other miscellaneous duties
Qualifications:
- Experience with EMR software (EPIC experience a plus)
- Light, accurate keyboarding skills required
- Strong organizational abilities and the capacity to multitask effectively
- Attention to detail and accuracy in all tasks
- Knowledge of healthcare insurance and medical terminology is advantageous
- Consistent ability to show up on time and maintain reliable attendance
- Maintaining a positive and friendly attitude, contributing to a welcoming environment for patients
- Ability to communicate clearly and effectively with patients, colleagues, and healthcare providers
- A genuine and empathetic approach towards patients, understanding their concerns and demonstrating compassion
- Ability to adapt to changing situations, ensuring flexibility in handling diverse patient needs and office dynamicsA contagious energy and positive attitude in patient interactions

Education/Requirements:
- High School Diploma or equivalent; additional healthcare administration education or experience is a plus
Environmental/Working Conditions:
- Work is performed in an office environment.
- Work may be stressful at times due to busy office.
- Interaction with others is constant and interruptive.
Physical Demands:
- Work may require hand dexterity for telephone and office machine operation.
- There may be excessive standing while at the check-in counter.
- There may also be occasional lifting of supplies up to 20lbs.Ā
