Client Experience Workflow Support

OSG is looking for a hands-on, detail-driven individual early in their career who likes seeing work move: intake an order, get it right, track it through production, and close the loop. You'll learn OSG's production systems and workflows from the inside, working alongside operations teams, procurement partners, and client-facing colleagues, with direction and coaching from a lead member of the team.

Client Experience Workflow Support is the operational engine of CX, coordinating production from order receipt through to job completion, and acting as the liaison between Client Engagement and Operations.

What You'll Do

  • Manage order intake. Handle production orders received via email and other intake channels, ensuring accuracy, completeness, and proper documentation from the start.
  • Coordinate insert materials. Track and coordinate insert materials with the internal operations and procurement teams and external partners for assigned production runs.
  • Monitor supply and compliance. Monitor availability, usage, and reconciliation of inserts, and flag potential shortfalls or compliance issues in advance, before they affect a run.
  • Execute test orders. Perform test order creation including setup, validation, and results documentation, under the direction of a Lead or Manager.
  • Self-review for quality. Review your own order intake work for quality, and flag discrepancies, errors, or recurring issues to the Lead or Manager for corrective action.
  • Support production coordination. Participate in daily stand-ups and general coordination with Operations, supporting job verification, releasing, inserts tracking, and QA validation.
  • Keep files and data moving. Support data and file handling activities, working with internal teams on client file conversion and merging for Direct Mail.
  • Contribute to continual improvement. Identify efficiency gains in the order management workflow and share process improvement ideas with your team.


What You Bring

Qualifications

  • Bachelor's degree, or equivalent experience in operations, business, communications, or a related field.
  • 0–2 years of experience in production coordination, print operations, Direct Mail, data entry, or a similar operational or administrative role; internship or co-op experience is welcome.
  • Demonstrated ability to follow detailed instructions, take ownership of assigned tasks, and ask clarifying questions to ensure accuracy.
  • Strong organizational skills, with the ability to manage multiple concurrent priorities without losing accuracy or follow-through.
  • Clear communication, be able to relay production status, issues, and needs to both internal operations teams and client-facing partners in a professional, timely manner.
  • Basic familiarity with data entry, file handling, or production-related software tools, and a willingness to learn OSG's systems and applications, including Salesforce.
  • Excellent attention to detail and a commitment to accuracy in a high-volume, deadline-driven environment.

Nice to Have

  • Exposure to workflow support, production, or operational environments through coursework, an internship, or prior work experience, helpful, but not required.
