Job Description:
The Patient Services Coordinator provides excellent customer service both in person and over the phone, greets patients and visitors upon their arrival at the clinic, schedules appointments, maintains medical records, verifies insurance, and ensures that all experiences with our office meet a superior standard. Recognizing that surgery is a stressful time, it is crucial to confidently offer exceptional customer service.
ESSENTIALÂ FUNCTIONS: Â
- Perform front office duties, including checking in patients and visitors, collecting copays, deductibles, and self-pay balances, directing patient flow to ensure clinic efficiency, and monitoring the waiting room.
- Verify demographics and insurance; obtain referrals and authorizations prior to visits.
- Complete end-of-day reports, reconcile all collected payments, and submit reports to the central billing office or clinic manager.
- Send appointment-related paperwork and letters to patients.
- Call patients prior to their appointments to confirm scheduling and provide clear instructions on how to locate the clinic, including details about parking, building entry, and directions within the facility.
- Process retail sales, collect associated fees, and document transactions across multiple platforms (IMS, Square, eCW).
- Schedule appointments and maintain clinic schedules for multiple physicians.
- Manage a multiline phone system, gathering information and transferring calls appropriately.
- Maintain patient records, including scanning and filing documents into the EMR system in compliance with HIPAA guidelines.
- Distribute dictated office notes and letters to referring offices.
- Perform general administrative tasks, including data entry, copying, faxing, and emailing.
- Perform other related duties as assigned.

EDUCATION & EXPERIENCE:
