The Opportunity
The Medical Secretary provides essential administrative and clerical support to ensure efficient operations at Rhode Island Primary Care Medical Group. This position serves as a critical communication hub between patients, providers, clinical staff, and external stakeholders in a multi-site medical practice environment. The Medical Secretary maintains accurate medical records, manages scheduling and correspondence, and ensures seamless coordination of patient care activities.Â
What you’ll do

Front Office Operations:Â
- Greet patients and visitors in a professional and welcoming mannerÂ
- Check in patients, verify demographics and insurance information in Epic EHRÂ
- Collect co-payments and process patient payments using point-of-sale systemsÂ
- Schedule, reschedule, and confirm patient appointments across multiple providers and locationsÂ
- Manage provider calendars and optimize appointment schedulingÂ
- Respond to patient inquiries via phone, email, and patient portal messagesÂ
- Register new patients and update existing patient informationÂ
Â
Medical Records and Documentation:Â
- Maintain accurate and confidential patient medical records in Epic EHRÂ
- Scan, file, and organize medical documents and correspondenceÂ
- Processing medical records requests and release of information formsÂ
- Ensure compliance with HIPAA regulations and patient privacy standardsÂ
- Track and follow up on missing or incomplete documentationÂ
- Prepare charts and documentation for provider reviewÂ
- Coordinate medical record transfers between facilities and external providersÂ
Administrative Support:Â
- Transcribe provider notes and communications as neededÂ
- Process prescription refill requests and route to appropriate clinical staffÂ
- Coordinate referrals to specialists and obtain prior authorizationsÂ
- Verify insurance eligibility and benefitsÂ
- Prepare and submit insurance claims and support documentationÂ
- Handle incoming and outgoing mail and faxesÂ
- Coordinate patient follow-up appointments and recall systemsÂ
Â
Communication and Coordination:Â
- Serve as liaison between patients, providers, clinical staff, and external contactsÂ
- Communicate test results to patients by provider instructionsÂ
- Coordinate with other RIPC Medical Group locations for patient care continuityÂ
- Facilitate communication with pharmacies, laboratories, and imaging centersÂ
Â
Quality and Compliance:Â
- Maintain patient confidentiality and adhere to HIPAA regulationsÂ
- Follow office policies, procedures, and clinical protocolsÂ
- Participate in quality improvement and compliance initiativesÂ
- Support ACO quality metrics documentation and reportingÂ
- Ensure accurate and timely completion of administrative tasksÂ
- Always maintain professional appearance and demeanorÂ
Who you areÂ

Requirements and Qualifications:Â
- Minimum of 2+ years of experience as a Medical Secretary in Primary Care. Â
- High school diploma required.Â
- Self-starter & willingness to learn. Â
- Strong communication, organizational, and planning skills.Â
- Proficiency with Epic systems and Microsoft Office (Excel, Outlook, Teams, Word). Â
- Ability to collaborate with team members on assigned tasks. Â
- Familiarity with medical terminology and ability to calculate and collect cash transactions.Â
- Must possess good interpersonal skills, including excellent communication skills and ability to deal effectively with staff, physicians and patients in a courteous manner.Â
