Description

The Facilities Manager is responsible for ensuring all Friendly Toast restaurants operate in safe, efficient, and well-maintained environments. This role supports preventive maintenance programs, vendor relationships, facilities budgets, and day-to-day facility operations across multiple locations. The Facilities Manager partners closely with Operations and external service providers to protect company assets, maintain brand standards, and minimize operational disruptions.

 Key Responsibilities


Maintenance Operations

  • Oversee the day-to-day maintenance and repair of restaurant facilities, equipment, and building infrastructure to ensure safe, efficient, and uninterrupted operations. Coordinate and perform general building maintenance as needed, including lighting, painting, carpentry, flooring, doors, and minor plumbing repairs, while managing vendors and contractors for specialized services.
  •  Respond promptly to facility maintenance requests, prioritizing issues to minimize operational disruptions while ensuring cost-effective resolutions.
  • Conduct routine inspections of restaurant locations to identify maintenance needs, safety concerns, compliance issues, and opportunities for facility improvements.
  • Troubleshoot, and perform minor repairs to building systems, including but not limited to plumbing, electrical, carpentry, equipment, and HVAC, while engaging qualified vendors for specialized or complex repairs.  
  • Develop and manage maintenance work orders, preventive maintenance schedules, equipment records, and parts inventory while coordinating project execution with Operations Services and external vendors.

Preventative Maintenance (PM)

  • Support the execution and coordination of preventive maintenance schedules across all restaurant locations to promote safe, reliable, and efficient operations.
  • Monitor preventive maintenance activities, maintain accurate records, and communicate opportunities to reduce emergency repairs and equipment downtime.
  • Assist in identifying maintenance trends and recommending improvements to enhance equipment performance, extend asset life, and support operational efficiency.

Vendor Management

  • Coordinate with third-party vendors, contractors, and service providers to support timely maintenance, repairs, and facility-related projects.
  • Partner with the company's third-party IT provider to support the maintenance and functionality of camera, security, and related technology systems.
  • Monitor vendor performance, assist in obtaining service quotes, and ensure work is completed in accordance with company standards, timelines, and quality expectations.

New Opening Management

  • Collaborate with vendors and cross-functional teams, including Design, Marketing, and Operations, to support the ordering, delivery, and installation of equipment, fixtures, and décor for new restaurant openings.
  • Assist in identifying and communicating construction or installation issues, working with project teams and vendors to help resolve delays and support successful project completion.

Budget & Cost Control

  • Support the management of facilities budgets by tracking maintenance expenses, monitoring spending, and assisting with budget planning and forecasting.
  • Review and process service invoices, maintain accurate expense records, and ensure repair costs are documented and submitted in accordance with company procedures.
  • Identify opportunities to improve operational efficiency and reduce maintenance costs while maintaining company safety, quality, and brand standards.

Safety & Compliance

  • Support compliance with company policies and applicable health, safety, food safety, and regulatory requirements by helping ensure restaurant facilities and equipment are properly maintained.
  • Participate in facility inspections, audits, and corrective action initiatives, coordinating follow-up maintenance and repairs as needed.
  • Promote safe work practices by identifying potential hazards, communicating maintenance concerns, and partnering with operations to resolve issues.
  • Conduct routine facility and brand standards inspections to ensure restaurants maintain a clean, safe, functional, and guest-ready environment. Coordinate repairs and improvements that support The Friendly Toast's operational and brand standards.

Qualifications & Skills

  • Experience in facilities, maintenance, or property management, preferably in a multi-unit restaurant, retail, or hospitality environment.
  • Working knowledge of commercial building systems, restaurant equipment, and preventive maintenance practices.
  • Experience coordinating with vendors, contractors, and service providers to support maintenance and facility-related projects.
  • Basic understanding of budgeting, invoice processing, and expense tracking.
  • Ability to manage multiple priorities and support multiple restaurant locations in a fast-paced environment.
  • Strong communication, organization, problem-solving, and customer service skills.
  • Proficiency with Microsoft Office and experience using work order or maintenance management systems is preferred.
  • Valid driver's license and willingness to travel regularly within the assigned region.

Working Conditions

  • Regional role supporting multiple restaurant locations
  • Frequent travel to inspect sites and respond to facility needs
  • Availability for after-hours or emergency situations as required

 Physical Aspects of the Position: 

  • Ability to understand and implement safety regulations and procedures 
  • Ability to communicate procedures and regulations to staff and guests
  • Ability, both visually and auditory, to identify and respond to safety and environmental hazards and inform workers, staff and guests.
  • Physical strength to lift equipment and supplies (over 50lbs) 
  • Physical mobility and endurance to perform tasks while standing/walking for long periods of time. 
  • Ability to safely and properly use power tools and equipment 
  • Physical ability to endure prolonged standing, bending, stooping, and stretching and eye-hand coordination and manual dexterity to manipulate equipment .
  • Physical ability to respond appropriately to situations and emergencies (fire, evacuation, illness or injury).
