WHO WE ARE LOOKING FOR

The primary responsibility of the Receptionist is to create a welcoming and professional first impression while providing essential office and administrative support. In this role, you will answer and direct incoming calls, greet and assist guests, manage mail distribution, and support the flow of correspondence across the office. Through your attention to detail, professionalism, and customer‑service mindset, you help ensure daily office operations run smoothly while supporting additional clerical and administrative tasks as needed.

  • You are the first point of contact for the office, professionally managing incoming calls and greeting guests with warmth, confidence, and hospitality that reflects Choate’s culture.
  • You take pride in maintaining a polished, welcoming reception and lobby environment, ensuring shared spaces and supplies are consistently organized and stocked.
  • You support daily office operations by managing mail, deliveries, postage systems, and courier accounts with accuracy and attention to detail.
  • You keep critical information current by updating project lists, directories, emergency contact plans, and access records to ensure seamless communication and safety.
  • You approach employee inquiries with a service‑oriented mindset, assisting proactively and collaborating with the Office Manager to solve problems and support business needs.
  • You are dependable and flexible, balancing routine administrative tasks with ad‑hoc requests while helping ensure smooth front‑desk coverage and overall office efficiency.
