What you will do:Â
Responsibilities include but are not limited to assisting the Construction Managers and Project Managers with coordination/ documentation, ordering of equipment for Install base projects including day-to-day general office duties as assigned for fire alarm, suppressionÂ
and sprinkler.Â

How you will do it:Â
- Operations Administrative Support uploading and Maintaining Projects and Contracts via Job Design/ BBIÂ
- Monitor status of small projects (fire alarm, suppression, sprinkler) Â
- Communicate with customers and sale reps as to when material and/or
- labor is required.
- Ensure that required engineering is performed to meet customer expectations.
- Coordinate with TIS supervisor and/or construction manager customer’s labor requirements.Â
- Order equipment, ensure that customer receives material when needed.Â
- Report to department managers project status.Â
- Process change orders, releasing equipment, filing, Certificate of Insurance, Warranty LettersÂ
- Billing of projects; compiling back-ups such as Certified Payroll, work tickets etc.Â
- Handling customer/ contract disputes as needed.Â
- Coordinate delivery of equipment to the job siteÂ
- Coordinate delivery of close-out documentsÂ
- Creation of purchase orders for subcontractorsÂ
- Procurement and verification of project schedulesÂ
- Attend work in progress meetings.Â
- Tracking of project RFI’s, change orders and other pertinent documentation.Â
- Coordination/ Follow Ups with Sales Team regarding project bookings; releasing of jobs from COE/ Credit holds etc.Â
- Assist with Accounts Receivable (AR)Â
- Act as the facilitator and point-person for information sharing between OTC, District, and select customers as directed by ACSMÂ
- Support Dispute Resolution in resolving disputes when requested by the AR Collectors or the Dispute team.Â
- Contact customers when identified as necessary as part of DMS or for very simple reasons.Â

RequiredÂ
- Proficient in Microsoft Windows, Word, EXCEL, Power PointÂ
- Knowledge of ACE, OASys, Job Cost SystemsÂ
- Valid driver's license with a good driving recordÂ
- High School diploma or equivalentÂ
- Ability to multi-task and prioritize among assignments with a strong adherence to deadlines.Â
- Excellent verbal and written communication skillsÂ
- Must be organized, detail oriented and self-motivating.Â
- Must Pass a pre-employment background check and drug screenÂ

- Associate's degree preferred Â
- 3 to 5 years of related experienceÂ

- Electrical/ Construction industry experience is helpful Â
HIRING HOURLY RANGE: $21.92 - 30.14 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
