Position Summary

Model Oncology is seeking an Office Manager / Executive Assistant to support daily operations of the Nashville headquarters and provide executive-level support to company leadership. Reporting to the Chief Marketing Officer, this individual will manage office operations, executive calendars, travel, and meeting logistics, and serve as a central point of coordination across a small, fast-moving leadership team. This role requires sound judgment, discretion, and the ability to anticipate needs in an environment where priorities shift quickly.

Responsibilities

  • Manage complex calendars, scheduling, and travel arrangements for one or more senior executives
  • Own day-to-day office operations, including vendor relationships, supplies, facilities coordination, and general office functionality
  • Prepare, organize, and distribute materials for board meetings, leadership meetings, and external partner meetings, including agendas and minutes
  • Coordinate internal and external meetings, offsites, and company events, managing logistics end to end
  • Serve as a gatekeeper and point of contact for executives, exercising discretion in prioritizing requests and managing sensitive information
  • Support expense reporting, invoice processing, and basic administrative coordination with finance
  • Assist with onboarding logistics for new hires, including workspace setup and coordination with the People function
  • Draft and proofread correspondence, presentations, and internal communications on behalf of leadership
  • Identify and implement operational improvements as the organization scales

Qualifications

  • 5-7 years of experience as an Office Manager, Executive Assistant, or in a comparable operations/administrative role, ideally supporting C-suite or senior executives
  • Demonstrated ability to manage competing priorities and shifting deadlines with minimal oversight
  • Excellent written and verbal communication skills
  • High degree of discretion in handling confidential and sensitive information
  • Strong organizational skills and close attention to detail
  • Proficiency with standard office and productivity software (calendar management, presentation, and document tools)
  • Comfort operating within an early-stage, fast-growing environment in which processes are still being established
  • Experience in healthcare, professional services, or another fast-paced operating company preferred
  • Based in or willing to relocate to Nashville, TN; on-site presence required
