PositionĀ Summary:
The Project Coordinator provides coordination and administrative support across a range of student-facing and partner-engaged initiatives in the Jean & Alexander Heard Libraries. The primary responsibilities of the position include program and event support for the Teaching & Learning department and other library departments as needed, liaising with campus partners, andĀ managing financial processesĀ for cross-library unitsĀ andĀ campus libraries. Reporting to the AssociateĀ UniversityĀ LibrarianĀ forĀ TeachingĀ &Ā Learning,Ā theĀ positionĀ interactsĀ withĀ manyĀ faculty, students, and staff across campus, as well as community partners. The role requires sound judgment, innovative thinking, and a thorough understanding of university policies and procedures.

The Jean and Alexander Heard Libraries at Vanderbilt University comprises nine libraries, as well as service departments in collections services, digital scholarship & scholarly communications, information technology and digital services, and teaching & learning. ProgramĀ Support
ProvideĀ projectĀ supportĀ toĀ theĀ AULĀ forĀ TeachingĀ &Ā LearningĀ andĀ theĀ libraryĀ leadership team as assigned.
Administratively manage the Buchanan Library Fellowship program, and other library fellowships,Ā throughĀ studentĀ recruitmentĀ andĀ onboarding andĀ overallĀ programĀ support.
PrepareĀ reportsĀ onĀ departmentalĀ projectsĀ andĀ programsĀ asĀ requested.
AnticipateĀ challenges,Ā developĀ solutions,Ā andĀ adaptĀ processesĀ toĀ evolvingĀ program needs.
AdministrativeĀ &Ā EventĀ Support
Support library outreach and programming through ongoing communications and engagementĀ withĀ campusĀ andĀ non-campusĀ partnersĀ throughoutĀ theĀ academicĀ year.
CollaborateĀ withĀ theĀ libraryĀ EventsĀ CoordinatorĀ inĀ planning,Ā coordinationĀ and executionĀ of programs and initiatives, particularly in the Central & Divinity library spaces.
Assist with event management for guest speakers, symposiums, and travel related to campusĀ partnerĀ programming,Ā includingĀ withĀ theĀ BandyĀ CenterĀ andĀ theĀ McGeeĀ CenterĀ for Narrative Analysis.
AnticipateĀ challenges,Ā developĀ solutions,Ā andĀ adaptĀ processesĀ toĀ evolvingĀ program needs.
FinancialĀ Operations
Oversees administrative and financial support functions, including authorized credit card (OneCard)Ā transactions,Ā procurementĀ requests,Ā vendorĀ payments,Ā andĀ travelĀ coordination for visiting guests; working closely with the Librariesā Administrative Officers to ensure efficient workflow processing and compliance with university policies and procedures.
ServeĀ asĀ pointĀ personĀ forĀ triagingĀ andĀ managingĀ supplyĀ ordersĀ acrossĀ the libraries.
MonitorĀ institutionalĀ policyĀ andĀ technologyĀ changes,Ā updatingĀ workflowsĀ andĀ trainingĀ to ensure compliance and efficiency.

EducationĀ andĀ Certifications:
BachelorāsĀ DegreeĀ isĀ required.
AdditionalĀ degreeĀ and/orĀ certificationĀ inĀ projectĀ managementĀ isĀ preferred.
ExperienceĀ andĀ Skills:
3-4Ā yearsĀ experienceĀ inĀ aĀ relevantĀ fieldĀ is required.
