Position Overview

The Estimate & Bid Manager is responsible for managing and executing all company estimates, bids, quote approvals, and equipment/material ordering.

This role sits at the center of operations, sales, and profitability.

You will ensure:

  • Quotes are accurate

  • Margins are protected

  • Orders are correct

  • Projects move forward without delays

This is a high-accountability position directly impacting revenue and company performance.

Primary Responsibilities

Estimating & Bidding

  • Prepare and manage service, equipment, and project estimates

  • Review job scope, labor requirements, and material costs

  • Build accurate proposals aligned with company pricing standards

  • Coordinate with operations, sales, and technicians for scope clarity

  • Submit bids within required timelines

  • Maintain estimating templates and pricing structures

Quote Approval Management

  • Review and approve all company quotes before release

  • Verify pricing accuracy and required margins

  • Ensure scope completeness and profitability

  • Identify risks or missing information prior to approval

  • Maintain quote tracking and approval workflows

Ordering & Project Execution Support

  • Manage ordering of approved equipment and materials

  • Verify correct parts and equipment specifications

  • Coordinate with Parts Manager and Dispatch

  • Track ETAs and communicate delays proactively

  • Ensure jobs are properly staged for execution

Process & Accountability

  • Standardize estimating procedures across all branches

  • Improve speed and accuracy of quote turnaround

  • Maintain organized documentation and records

  • Work closely with leadership to improve pricing strategy

  • Identify inefficiencies and implement improvements

  • Quotes completed quickly and accurately

  • Consistent company margins protected

  • Minimal ordering errors

  • Projects start without delays

  • Clear communication between departments

  • Leadership no longer chasing quote status

Qualifications

  • 3+ years estimating, bidding, project coordination, or operations experience

  • Strong understanding of pricing, cost analysis, and margins

  • Highly organized with attention to detail

  • Comfortable managing deadlines and multiple projects

  • Strong communication and decision-making skills

  • Experience in commercial service, construction, HVAC, or equipment industry preferred

  • ERP or service software experience a plus
