Overview

The Clerk 1 performs a variety of clerical and administrative duties in support of the County Clerk's Registry Division. Under supervision, the employee is responsible for processing, recording, indexing, imaging, and maintaining official land records submitted for recording in accordance with New Jersey statutes, County policies, and departmental procedures. The position also provides customer service to attorneys, title companies, surveyors, municipalities, government agencies, and the general public. The candidate must demonstrate excellent attention to detail, strong organizational skills, the ability to work accurately under deadlines independently, and the ability to maintain the integrity and confidentiality of official public records.

Location: New Brunswick, NJ

Schedule: Monday- Friday 8:30a-4:15p

Responsibilities

  • Receive, review, and process deeds, mortgages, liens, easements, maps, releases, and other recordable land documents submitted in person, by mail, or electronically.
  • Examine documents for recording requirements and completeness in accordance with New Jersey recording statutes and County procedures.
  • Record, scan, image, and index documents into the County's land records management system.
  • Verify names, legal descriptions, property references, recording information, and indexing data for accuracy.
  • Assign recording information, instrument numbers, book and page references, or other identifying information as required.
  • Calculate and collect recording fees, taxes, and other applicable charges in accordance with established schedules.
  • Maintain accurate electronic and physical records to ensure the integrity of the County's permanent land records.
  • Respond to inquiries from attorneys, title companies, surveyors, municipalities, and members of the public regarding recording procedures and public records.
  • Assist customers in locating recorded documents using computerized land records systems and public search terminals.
  • Retrieve, reproduce, certify, and distribute recorded documents upon request.
  • Perform data entry while maintaining a high level of accuracy.
  • Verify recorded documents through quality control procedures and correct indexing errors when appropriate.
  • Operate scanners, computers, printers, and other standard office equipment.
  • Assist with records retention, archival activities, and document imaging projects.
  • Crosstrain in other functions of the County Clerk's Office as operational needs require. May require work and travel to other locations or community events.
  • Perform other related duties as assigned.

Qualifications

Education

  • Graduation from high school or possession of a GED.

License

  • Appointees will be required to possess a driver's license valid in New Jersey.
  • Active Notary Public preferred

Minimum Experience

  • One (1) year of clerical, administrative, records management, customer service, or office experience preferred.
  • Experience involving data entry, document processing, public records, title work, legal documents, or land records is preferred but not required.
  • Any equivalent combination of education, training, and experience that demonstrates the required knowledge, skills, and abilities.

  • Excellent organizational and time management skills.
  • Strong customer service and interpersonal skills.
  • Ability to interpret and follow written procedures, policies, and instructions.
  • Ability to learn New Jersey recording statutes, land record procedures, and County policies.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to make simple arithmetic calculations and tabulations.
  • Proficiency with computers, Microsoft Office applications, and electronic document management systems.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to work independently as well as part of a team.
  • Ability to establish and maintain positive working relationships with coworkers, public officials, and customers.

Working Conditions

  • Primarily office environment.
  • Frequent use of computers and standard office equipment.
  • Frequent interaction with the public.
  • Occasional lifting and moving of files, books, and boxes weighing up to approximately 25 pounds.
  • Work requires prolonged periods of sitting and repetitive keyboard use.

The anticipated starting base pay for this position is:

  • $45,000 - $50,000 per year, depending on experience and qualifications.
