Job DetailsJob Location: New Hartford, NY 13413Position Type: Full TimeEducation Level: 2 Year DegreeSalary Range: $20.00 - $24.00 HourlyJob Shift: DayHUMAN RESOURCES OPERATIONS SPECIALIST   REPORTS TO: Director of Human Resources   HOURS: Full time, M-F   RATE OF PAY: $20.00-$24.00 per hour, commensurate with experience.        Essential Duties and Responsibilities   Employee Lifecycle & Coordination Schedule and conduct new hire employee orientation. Coordinate start dates and orientation schedules for new hires. Maintain applicant pools and screen candidates for all positions. Schedule applicants for pre-employment physicals, Mantoux testing, and ensure all pre-employment requirements are met prior to start date. Perform required pre-employment checks (e.g., OIG, background verifications). Create and maintain electronic employee personnel files and confirm all pre- and post-employment documentation is complete. Conduct necessary audits to ensure compliance/accuracy. Prepare and distribute termination letters, separation packets, and schedule exit interviews as appropriate.   Database Administration & Data Integrity Serve as a administrator for employee databases and HR systems, ensuring accurate, timely, and compliant data entry. Update employee database where applicable and appropriate. Perform routine audits, data clean-up, and reconciliation of employee records to ensure data accuracy and integrity. Identify data discrepancies and proactively resolve issues in coordination with Human Resources leadership.   Automation & Process Improvement Assist in the development, implementation, and maintenance of automated HR workflows and processes (e.g., onboarding, status changes, reporting). Identify opportunities to streamline administrative tasks through automation and improved system utilization. Support updates to HR procedures, forms, and documentation to align with system enhancements, regulatory changes, and operational needs. Participate in testing and implementation of new HR technology, system upgrades, or process improvements.   Reporting, Documentation & Compliance Complete requests for verification of employment. Coordinate external advertising for open positions and maintain the open job log. Process internal job postings and manage posting distribution and removal upon expiration. Receive and distribute incoming and outgoing mail and correspondence for the Human Resources office. Access and maintain protected health information (PHI) and confidential employee information in both electronic and paper formats, including medical files, short-term disability, and workers’ compensation documentation. Ensure compliance with all applicable laws, regulations, corporate compliance standards, and confidentiality requirements.   Professional Standards Perform all duties in accordance with the highest ethical and professional standards. Adhere strictly to confidentiality requirements related to employee and resident information. Support continuous improvement of Human Resources operations and service delivery.   Other Duties Perform other related duties as assigned by the Human Resources Director.     Qualifications Associate degree in business or related field, or equivalent relevant work experience. Strong working knowledge of personal computer technology, including word processing, spreadsheets, databases, and HR information systems. Demonstrated ability to work with automated systems and workflows. Strong organizational, analytical, and communication skills. Ability to work independently, manage multiple priorities, and meet deadlines. Ability to adapt to a fast-paced and frequently changing environment.
