Summary

The Outreach and Admissions Specialist is responsible for serving as the first point of contact for individuals, families, and referral sources seeking addiction treatment services. This role combines relationship-building with patient-centered support, ensuring that prospective patients are guided through the intake process with compassion, professionalism, and efficiency. The specialist works to increase community awareness of the facility’s programs, build referral partnerships, and ensure all admissions are handled in compliance with organizational, ethical, and regulatory standards.

Job Responsibilities

  • Respond promptly to inquiries from patients, families, and referral partners regarding treatment programs and admissions criteria.
  • Conduct initial screenings and assessments to determine program eligibility and appropriateness of care.
  • Guide patients and families through the admissions process, including insurance verification, consent forms, and financial discussions.
  • Maintain accurate documentation of all admissions activity in electronic systems.
  • Build and nurture relationships with referral sources, community organizations, and healthcare providers.
  • Represent the facility at community events, outreach activities, and professional meetings to promote services.
  • Collaborate with clinical and medical staff to ensure smooth transition from intake to treatment.
  • Track admissions data and provide reports to the Director of Outreach and Admissions.
  • Ensure all patient information is handled in compliance with HIPAA, state, and federal regulations.
  • Provide compassionate, respectful communication and support to individuals and families in crisis.

Qualifications, Knowledge, Skills & Abilities

  • High school diploma or GED required; associate’s or bachelor’s degree in healthcare, social services, marketing, or related field preferred.
  • Previous experience in admissions, intake, customer service, or healthcare outreach strongly preferred.
  • Knowledge of addiction treatment, behavioral health services, or related healthcare environments is a plus.
  • Familiarity with insurance verification and medical terminology preferred.
  • Excellent communication and interpersonal skills, with ability to engage empathetically with patients and families.
  • Strong organizational and time management abilities; able to manage multiple inquiries and tasks simultaneously.
  • Ability to work independently while collaborating effectively with a team.
  • Proficiency in Microsoft Office Suite, admissions/CRM systems, and electronic health record platforms.
  • Cultural competence and sensitivity when working with diverse populations.
  • Strong problem-solving skills with the ability to remain calm in high-stress situations.
  • Knowledge of HIPAA and confidentiality standards.

Physical Requirements and Working Conditions

  • Work performed in both office and community settings.
  • Frequent sitting, standing, walking, and computer/phone use.
  • Occasional travel to referral partners, events, and community outreach activities.
  • May require lifting of marketing materials or office supplies (up to 20 lbs).
  • Flexible scheduling, including evenings and weekends, based on admissions and outreach needs.
  • Exposure to emotional situations when working with patients and families in crisis.
