Position: Office Administrator 

 

The Office Administrator plays a vital role in ensuring the smooth operation of our small but dynamic office. This position requires a versatile professional who can manage a wide range of administrative tasks while supporting freight and logistics operations. The ideal candidate will have experience in transportation or logistics and be eager to learn import, export, and domestic processes. This role demands strong organizational skills, adaptability, and the ability to “do it all” in a fast-paced environment. Core Responsibilities & Duties

  • Manage daily office operations, including filing systems, supply requisitions, and information management.
  • Provide administrative support to managers and assist with driver onboarding and training documentation.
  • Learn and support import, export, and domestic freight processes.
  • Coordinate logistics documentation and maintain accurate records for shipments, consignee details, and customer files.
  • Serve as a point of contact for customers, ensuring excellent service and satisfaction.
  • Respond promptly to phone calls and emails, providing accurate information and assistance.
  • Oversee office supply levels, equipment maintenance, and cross-training of staff.
  • Utilize software applications to maximize office productivity and maintain data accuracy.
  • Assist with scheduling and tracking shipments, including LTL and airline logistics.
  • Collaborate with team members to ensure compliance with company procedures and industry regulations.
  • Ability to work extended hours, including nights and weekends, as needed.
  • All other duties as assigned to meet evolving business needs.

Qualifications

  • Education: High school diploma or equivalent required; associate degree or higher preferred.
  • Certification/Licensure: None required; logistics or administrative certifications a plus.
  • Prior experience in freight or logistics operations (LTL and airline logistics strongly preferred).
  • Ability and willingness to learn import, export, and domestic shipping processes.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and web-based applications.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • Demonstrated discretion and confidentiality in handling and protecting sensitive information.
  • Technical: Proficient with common office technologies, including Windows PCs, Microsoft O365 (Outlook, Word, Excel, PowerPoint, etc.) and web conferencing (Teams, Zoom, Webex, etc.)
  • Environment: Comfort commuting to/from and working in a 100% on-site setting (listed in this posting), with travel for related meetings/events.
