As the Creative Coordinator at Así Studios, you will be an essential part of our operations team, ensuring the smooth and efficient operation of our creative services department. You will work closely with creative professionals, production, operations and other stakeholders to coordinate projects, manage resources, and maintain schedules. Your organizational skills and attention to detail will play a crucial role in the success of our creative initiatives.

YOUR DAY-TO-DAY:

  • Own the RFP & Pitch Lifecycle: Coordinate RFPs and creative pitches from kickoff to delivery, tracking milestones and deadlines in centralized dashboards.
  • Resource Planning: Partner with the ECD and Director of Production to forecast staffing needs and maintain real-time resource allocation tracking in Airtable..
  • Stakeholder Communication: Act as the liaison between internal stakeholders and creative teams, translating feedback into clear action items and providing regular status updates.
  • Process Improvement: Evaluate existing workflows and recommend optimizations. Help implement and maintain systems that improve team efficiency and output quality.
  • Proactive Problem Solving: Identify and mitigate production bottlenecks before they impact delivery, pivoting resources or timelines to maintain creative momentum.
  • Digital Asset Management: Build and maintain organized digital libraries for treatments, creative assets, and master files, ensuring proper version control and easy retrieval.
  • Creative Quality Control Support: Review creative deliverables for completeness, brand compliance, and technical specifications before final approval.
  • Operational Support & Synthesis: Provide high-level administrative support, including calendar management and synthesizing complex creative meetings into structured, actionable task lists for the production team.
  • Vendor and Freelance onboarding.
  • Maintain expense reports for client billing.
  • Maintain creative vendor database and rate cards.
  • Participate in client calls and meetings (note-taking)
  • Coordinate pre-production logistics.
  • Support on set when productions are active.

YOU HAVE:

  • Bachelor's degree in Marketing, Communications, Production or a related field
  • Minimum 2 years previous experience in project/production coordinator experience in creative/advertising environment
  • Strong note taking skills and communication skills
  • Strong organizational skills and attention to detail. Understands the sales/creative project management process and ensures timelines are met 
  • Excellent communication and interpersonal skills
  • Knowledge of design, creative and production processes
  • Proficiency in project management software, Airtable, Frame.IO, Sharepoint, Adobe Creative Suite, Microsoft Office Suite, Microsoft Teams, Slack, Google Workspace and Keynote
  • Ability to multitask and work in a fast-paced environment
  • Tackle new and unexpected tasks with a willingness to learn

Eligibility Requirements

  • Willing to work from our New York or Miami offices, and travel as needed for productions
  • Employment/education will be verified
  • Applicants must be currently authorized to work in the United States on a full-time basis

Base pay Range:  $50,000 to $63,000 + benefits

Exact compensation may vary based on skills, experience, and location. Please note the national salary range listed in the job posting reflects the new hire salary range across levels and U.S. locations that would be applicable to the position.
