About the Role:
As Executive Assistant to the General Manager (GM) of Dow Jones Energy, you will use a high degree of judgement and discretion to ensure that all administrative and logistical needs for the GM and her team are met. You will focus on efficient calendar management that will match their priorities and maximize executives’ time and productivity. You will also balance multiple time-sensitive projects with deadline pressures. You will demonstrate leadership to maintain credibility, trust and support with senior management staff. You will report directly to the GM of Dow Jones’ Energy.Â
You Will:
Proactively manage the GM’s busy calendar with attentiveness to purpose, timeliness, participation, and business rationale for meetings and events
Use your comprehensive understanding of the executive's goals and objectives to effectively anticipate deliverables and follow up when necessary
Provide a bridge for smooth communication between the GM’s office and internal departments
Prepare daily pre-reads and meeting material with the Chief of Staff
Arrange video conferences, teleconferences, and technical support for all meetings
Plan domestic and international travel and prepare itineraries Â
Prepare and file expenses
Identify processes that can be improved and proactively strive to maintain efficient workflows
Work in-office 4-5 days a week; with flexibility when the GM’s schedule allows it
You Have:
At least 5 years’ experience as an Executive Assistant in which you have supported a C-Suite executive and their senior leadership team members
Understanding of the nuances of operating in a large corporate environment
Ability to maintain and handle confidential information with superior judgment and discretion
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, and the Google Suite of products
Ability to manage multiple projects and people simultaneously
Accessibility outside of the normal work hours of 8:30 AM to 5:00 PM Monday - Friday should urgent matters arise
