As a Facilities Coordinator at The Landmark, you will play a key supporting role in ensuring the operational and administrative efficiency of our facilities team. Working under the direct supervision of the Facilities Manager and Sr. Infrastructure Director, you will assist in handling administrative tasks, maintaining facility documentation, and helping coordinate with vendors and internal teams. This position is ideal for someone interested in learning the day-to-day administrative operations of a luxury retail environment while gaining exposure to both facilities and capital project processes.Â

Administrative Support Responsibilities:Â
Provide daily administrative support to the Facilities Manager, Sr. Infrastructure Director, and Facilities TeamÂ
Assist in managing work order requests via Service Channel; track status and update logs accordinglyÂ
Support scheduling of vendor appointments, internal meetings, and project site visitsÂ
Help maintain up-to-date records of vendor contracts, purchase orders, service reports, and safety documentationÂ
Prepare reports, presentations, and summaries on facility operations as neededÂ
Draft and organize meeting agendas and minutes for facilities-related discussionsÂ
Assist in creating and managing checklists for preventive maintenance and compliance trackingÂ
Support vendor setup and invoicing Â

Retail Facilities Coordination:Â
Assist in monitoring ongoing repair and maintenance tasks for The Landmark and communicate with vendors to ensure service completionÂ
Help track store-raised facility issues and ensure proper documentation and resolutionÂ
Participate in routine walk-throughs with store leadership and assist in logging follow-up itemsÂ
Support communication and coordination between store team, Facilities, and vendor partnersÂ

Capital Projects Exposure:Â
Provide administrative assistance during planning and execution phases of capital projectsÂ
Help maintain project files, including budgets, schedules, and design documentationÂ
Support team in compiling punch lists, project close-out packages, and vendor feedbackÂ
Â
Learning and Development Opportunities:Â
Gain exposure to luxury retail facilities operations and support systemsÂ
Learn to navigate Service Channel and understand vendor management protocolsÂ
Observe cross-functional collaboration between Facilities, CVM, and Health & Safety teamsÂ
Develop skills in administrative process improvement, reporting, and vendor coordinationÂ

Qualifications:Â
Strong interest in facilities, operations, or construction managementÂ
Exceptional attention to detail and ability to manage multiple tasks simultaneouslyÂ
Excellent verbal and written communication skillsÂ
Proficiency in Microsoft Office 365 (Excel, Outlook, Word, PowerPoint); familiarity with Service Channel a plusÂ
Off hours and weekends requiredÂ
Ability to work collaboratively in a fast-paced environment and maintain professionalismÂ

The hiring range for this position ranges from $26.00-31.00/hr. The rate of pay offered will be dependent upon candidates’ relevant skills and experience.
