Overview
The Administrative Assistant I provides vital support to maintain the efficient operation of the office. The Administrative Assistant I is responsible for supporting office operations through general administrative tasks. This role involves handling phone calls, managing office supplies, scheduling appointments, assisting with document management, and providing customer service. The role ensures that the office environment is organized and well-maintained, contributing to a productive workplace. By handling these essential duties, the Administrative Assistant I helps to ensure that daily office functions run smoothly and effectively.
Responsibilities
- Answer and direct phone calls, take messages, and respond to inquiries professionally
- Manage office supplies, including ordering and maintaining inventory
- Organize and schedule meetings, appointments, and travel arrangements
- Assist in preparing and editing documents, reports, and presentations
- File and maintain records, ensuring they are organized and easily accessible
- Handle general office tasks such as photocopying, scanning, and faxing
- Assist with data entry and maintain databases and support timekeeping functions
- Support senior staff with project coordination and administrative needs
- Maintain a professional and welcoming front-office presence for visitors
- Handle other administrative duties as required
- Provide backup support for other team members as needed
- Maintains established departmental policies and procedures, objectives, quality assurance program safety, environmental, and infection control standards
Qualifications
Education:
• High school diploma or equivalent; Associate’s degree or higher preferred

Experience:
• 2+ years prior experience in a similar administrative role

Skills:
• Strong organizational skills with the ability to multitask.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to maintain confidentiality and exercise discretion.
• A positive attitude and willingness to learn.
• Speaks, reads and writes English to the extent required by the position; knowledge of a second language preferred.
Pay Range
USD $50,000.00 - USD $53,000.00 /Yr.
