We believe education is the key that enables all people to create economic and civic opportunities for themselves, their families, and their community.  ESH’s LEARNING TO WORK PROGRAM aligns with our mission by providing high quality programs and services within community centers and school partnerships.     The Assistant Program Director is responsible for assisting the Program Director in the supervision and management of the entire YABC program. The Assistant Program Director will directly manage systems related to the collection and implementation of program data to ensure that the program meets its contractual requirements. Additionally, they are responsible for the administration of the LTW internship component.   Essential Functions and Responsibilities Under the supervision of the Program Director, the Assistant Director will be responsible for, but not limited to, the following: Work in tandem with Program Director to ensure that the partnership between East Side House and the DOE site is in good standing Provide direct support for the Program Director in areas of staff management and development as well as oversee, and administer the LTW internship program Assist in the supervision of Student Advisors to ensure that attendance outreach goals are met daily, home visits are conducted when necessary, and student logs stay current. Ensure that post-secondary support and college exploration is incorporated into student engagement. Conduct regular documentation audits via Salesforce, Civic App, and other databases Ensure that all fiscal documents are being submitted in a timely manner, which include: bi-weekly internship payroll on Paycom and data reports to program funders Maintain updated records of all fiscal transactions for the year which include: monthly LTW internship budget Maintain ongoing contact with employers to learn of new internship and/or employment needs as well as problems arising from existing placements Solicit, develop and cultivate internship and/or job opportunities within the community including use of calls and visits to employers to maintain internship partner’ relations Reach the minimum number of internship enrollment by February 1 Assist students in developing and achieving life/career goals that are assessed throughout LTW weekly seminars and during individual career exploration Assist students in job search, resume and cover letter development, search strategies and interviewing skills Prepare and present curriculum to students on job readiness and related topics; facilitate interactive seminars Ensure the program establishes 2-3 new internship sites every year while maintaining necessary partnership contracts in order Maintain database tracking and reporting of each student’s progress and measurable outcomes including timely entry of case notes of weekly meetings and incidents, and employment Refer students to academic and support services as needed Attend administrative meetings, program trainings and staff development Participate in civic and community building efforts, initiative, coalitions, and activities as assigned via East Side House Participate in and help arrange field trips, special events and extracurricular activities Actively participate in assigned staff development trainings, team meetings, and program meetings Provide suggestions for program improvement and implementation Provide other program support functions as required Serve as team lead when Program Director is absent, or off-site   Other Duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Duties, responsibilities and activities may change at any time with or without notice.  QualificationsQualifications To perform this position successfully, the Assistant Director must be able to fulfill all the elements of the job description to the highest standard and be able to work well with colleagues in a high energy and collaborative work environment.  Additional qualifications include:   Education / Experience Minimum B.A/ B.S.W. degree required  Minimum two years youth services experience required Previous supervisory experience strongly preferred Experience working in a school building preferred Demonstrated knowledge of community service/ development   Competencies Excellent verbal, analytical, written, communication and organizational skills Strong interpersonal skills and time management skills Ability to work in a team-oriented environment and multi-task Flexible and adaptable Minimum intermediate knowledge and experience with Microsoft Office including Word and Teams / Google Suite, Zoom, and other applications.   Clearance Employees must be clear to work at ESH.  Employment is contingent upon successful completion of background checks and/or screenings.   Supervisory Responsibility This position is responsible for supervising and managing the performance of all designated employees (font-line and support staff) assigned to the position within the department.   Travel Up to forty (40%) percent local travel will be required to secure internship sites, to conduct site-visits, and to meet with site supervisors. Additionally, travel will be required from East Side House Administrative building to DOE site on a regular basis.   Physical Demands This role may involve occasional lifting or moving of items up to 25 pounds and routine use of standard office equipment. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.    Expected Work Schedule The work schedule expected for this position is: Monday – Thursday, 1:00PM – 9:00PM, Friday, 9:00AM – 5:00PM, as aligned to the needs of the program/ service. The schedule may be adjusted based on ESH’s operational needs, with notice provided whenever possible. Workdays/hours subject to change based on ESH’s needs and school schedule/events.
