The Vita Coco Company is searching for a Domestic Transportation Coordinator. This person will be managing our TMS operations and coordination of all inbound and outbound truckload and LTL shipments, including transportation planning, carrier communication, scheduling issues, problem resolution, data compliance, and financial management of the vendors. This includes managing vendor relationships, internal relationships with other teams in operations and finance, and working with our TMS software to optimize enhance utilization both internally and externally. The Domestic Transportation Planner will also oversee ad-hoc daily activities and be relied upon for operational efficiency and improvements across our domestic transportation, including budget and financial close business.
This role is based out of our NYC HQ reporting directly to the Associate Manager of North American Logistics, with a dotted line to the Logistics and Transportation Planner.Â
Main Responsibilities:Â
- Daily load planning with our Transportation Management Software
- Communicate frequently and thoroughly on daily tracking, transportation outbounds, and pending deliveries
- Support transportation team with all internal customer accounts, supply and warehouse team, along with external partners for daily operational activities in inbound and outbound warehouse and transport operationsÂ
- Responsible for submitting reports and documentation as required; including ensuring administrative procedures are performed as necessary to complete required deliveries, supporting documentation, verifications and reports. (commercial invoices, BOL/POD verification, creation, etc. when needed).Â
- Maintain effective professional relationships with all carrier vendors, including daily emails, contacts and inquiries
- Establish and maintain effective professional relationships at all levels throughout the organization and externallyÂ
- Continually look for ways to optimize our transportation management system, inclusive of expanding its utilization and vetting additional opportunities to enhance our network and reduce our costs.Â
- Work with carriers on data compliance, with EDI standards for all carriers, to ensure BI boards can be used to identify further areas for company improvement
- Assist in management of invoice workflow for the domestic transportation providers, drayage and over the road.
- Rate change request management within the TMS
- Audit and approve the charges submitted for payment within the TMS to ensure accurate charges based on agreements
- Manage the dispute process with all vendors in US internally and externally.
- Monitor statement of accounts and their payable aging for transportation vendors, including problem resolution
- Assist with month end and financial closing accrual/reporting of any unsubmitted expenses
Qualifications:Â
- Bachelor’s Degree preferred but not requiredÂ
- 1+ years of experience in Domestic transportationÂ
- Experience managing a 3PL relationship, demonstrates an ability to influence and work effectively with external partiesÂ
- Excellent analytical and communication (both written and verbal) skillsÂ
- Mastery skill set in Excel, including the ability to create pivot tables, macros, sales dashboards, etc.Â
- SAP / MRP working experienceÂ
- Ability to manage multiple activities and cross-functional projects in a fast-paced environmentÂ
- Self-motivated team member who can drive resolution and problem-solve quicklyÂ
- Transportation management system experience is beneficial (currently use E2Open/Blujay)
This is a reasonable estimate of the current pay range for this position. The base pay actually offered may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
