Job Title: Event Services Manager


**Role Overview:**

The Event Services Manager plays a crucial role in planning and executing events once the sales process is complete. This role is pivotal in determining the level of service that influences client satisfaction and their likelihood to return. Timely responses, creative suggestions, and flexible alternatives are essential attributes for success in this role.


**Key Responsibilities:**

- Independently plan social events at Pier Sixty, The Lighthouse, and Current, taking full ownership of all client-facing planning details while maintaining strong, positive relationships.

- Maintain ongoing communication with clients, anticipating needs, resolving issues promptly, and ensuring a seamless planning experience.

- In partnership with the Event Manager, oversee ceremony processional logistics to ensure smooth execution.

• Manage and actively guide the event timeline through entrée service, maintaining flow and addressing real-time needs.

• Be present on site for all assigned events through entrée service, providing hands-on coordination and support.

- Identify opportunities to enhance menus, recommend upgrades, and implement upselling strategies to drive incremental revenue while guiding clients through their choices.

- Coordinate and lead in-person menu planning meetings, guiding clients through menu design and collaborating with the culinary team to ensure seamless execution.

- Conduct vendor production walk-throughs, conference calls, and planning meetings to align all stakeholders and ensure client expectations are accurately communicated.

- Produce clear Banquet Event Orders, design floor plans, and manage equipment and inventory needs to support the client’s vision for the event.

- Communicate critical event information to all departments to ensure smooth planning and operational readiness.

- Create actionable event timelines in collaboration with clients and the production team to ensure the event runs according to plan.

- Coordinate vendor deliveries, load-ins, load-outs, and setups in accordance with operational guidelines, maintaining alignment with the client’s expectations.

- Ensure accurate invoicing and timely collection of deposits and payments following accounting procedures.

- Adhere to safety protocols and travel to different properties or venues as required.


**Required Qualifications, Skills, and Abilities:**

- Minimum of three years of food & beverage/restaurant experience, preferably in Banquets, Catering Services, and/or Convention Services.

- Strong organizational skills, ability to multitask, and coordinate all aspects of an event.

- Ability to work independently, make proactive decisions, and meet deadlines.

- Proficiency in Microsoft Word, Excel, and PowerPoint; familiarity with Delphi and Prismm is a plus.

- Excellent communication skills to liaise effectively with team members, management, clients, and vendors.

- Knowledge of various types of event set-up styles, audio-visual equipment, and property layouts.

- Ability to handle customer interactions with patience, tact, and diplomacy.

- Strong problem-solving skills and ability to work under pressure.

- Positive attitude towards service, teamwork, and going above and beyond.

- Adherence to safety and health procedures.

- Maintain a professional appearance and behavior.

- Compliance with emergency procedures and company policies.

- Valid driver's license for using a golf cart within the property.


**Physical Requirements:**

- Ability to safely perform essential job functions.

- Lift, carry, load, unload, push, pull up to 20lbs.

- Sitting, standing, bending, and stooping consistently.

- Clear verbal communication skills.
