About the Role

We are seeking a highly organized and proactive Executive Assistant to support two senior leaders on our Marketing team. This role is critical to ensuring the Marketing leadership team operates efficiently and effectively. By managing day-to-day logistics, improving organization, and enabling clear communication, you will help drive focus and execution across the team. In this role, you will provide high-level administrative and operational support, helping to ensure day-to-day efficiency and enabling leadership to focus on strategic priorities.

 

The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced environment. You are comfortable managing competing priorities, handling sensitive information with discretion, and anticipating the needs of senior stakeholders.

Responsibilities
  • Manage complex calendars, including scheduling meetings, resolving conflicts, and prioritizing time effectively
  • Coordinate internal and external meetings across multiple stakeholders and time zones
  • Prepare meeting agendas, materials, and follow-ups, ensuring clear communication and alignment
  • Draft and manage correspondence on behalf of executives, maintaining a high level of professionalism and accuracy
  • Monitor and triage email and Slack communications to ensure timely responses and follow-through
  • Track key priorities, action items, and deadlines to support execution across the team
  • Coordinate travel arrangements, expenses, and logistics as needed
  • Support planning and coordination of team meetings, events, and offsites
  • Build strong relationships with cross-functional partners and act as a point of contact for internal and external stakeholders


What We're Looking For
  • 3–5 years of experience supporting senior leaders, preferably within a marketing, creative, or fast-paced environment
  • Demonstrated experience supporting multiple executives simultaneously
  • Prior experience working with marketing, creative, or cross-functional teams
  • Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • High attention to detail and a strong sense of ownership
  • Ability to handle confidential information with discretion and professionalism
  • Proactive, resourceful, and solutions-oriented mindset
  • Comfortable working in a dynamic, fast-changing environment
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and related tools
  • Experience coordinating team events or offsites

Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary range is reflective of a position based in New York City. This salary will be subject to a geographic adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting.
