Position Summary:

We are looking for a highly motivated Executive Assistant to support members of our Executive team.   The position offers exposure to every department and is essential to the smooth operation of our organization and requires someone who can effectively manage various responsibilities in a dynamic environment.


The ideal candidate will have a keen interest in social media and will serve as the liaison between corporate leadership and Richline's marketing department, maintaining a corporate calendar of events and industry functions, and collaborating with the marketing team to post on channels such as LinkedIn and the company's corporate website.

Responsibilities include but are not limited to:

  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents. 
  • Assist with preparation of presentation materials, as needed.
  • Responsible for calendar management.
  • Generate various reports utilizing internal Company software.
  • Act as a primary back-up for the reception desk, as needed.
  • Prepare and track various cards, tips, birthday, gifts, flowers, donations etc.
  • Arrange and coordinate travel schedules and reservations for executive management (both domestic and international).
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Assist with meeting preparation, special events and conference planning including trade shows. Keep events organized including guest lists, follow-ups, and confirmations.
  • Coordinate and manage sales and charity events – including booking hotel rooms and other accommodations and following up on various details to ensure the success of these events.
  • Order catering for meetings.
  • Manage contact lists and databases.

Experience & Skills:

  • Must be able to prioritize all requests and meet deadlines.
  • Must be detail oriented.
  • Works quickly and accurately under pressure
  • Excellent interpersonal and communications skills
  • Ability to multi-task and handle pressure with grace
  • Experience with heavy calendar management and travel arrangement 
  • Notary license is a plus.

Minimum Requirements:

  • A bachelor’s degree in related field or equivalent work experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • 1-2 years of experience working for senior executives in a corporate environment.
