Role Overview

The Facilities Support Project Manager plays a key role in advancing organizational facilities initiatives by leading special projects—most notably new site openings, renovations, and capital improvements—while also supporting ongoing facilities management through data analysis, compliance tracking, and system optimization. This role also serves as a bridge between Facilities and IT, ensuring that building infrastructure, technology systems, and operational needs are fully integrated in both project execution and day-to-day operations.

 

Key Responsibilities

Project Management

  • Lead end-to-end execution of special facilities projects, including new site openings, major renovations, and capital improvements, ensuring alignment of both physical infrastructure, technology, and telecom requirements.
  • Coordinate project planning across facilities, IT, and program teams to ensure all sites are fully operational at launch (e.g., furniture/equipment, network readiness, security systems, access control, phones/telecom and tech deployment). 
  • Manage and track compliance requirements, including permits, inspections, violations, and benchmarking requirements; support filings and reporting with regulatory agencies
  • Ensure both facilities systems and technology-related infrastructure (e.g., life safety systems, security systems) meet regulatory and operational standards.
  • Develop detailed project plans, including scope, timelines, milestones, budgets, and resource allocation.
  • Work with Procurement Department to establish service contracts and vendors, including those supporting both facilities systems and IT infrastructure.
  • Monitor project progress, proactively address risks, and adjust plans to ensure timely and successful completion; communicate expectations to key stakeholders via routine status updates.
  • Prepare clear, concise reports and presentations for leadership covering post-project reporting, including lessons learned and process improvements.

Facilities Analytics, Systems & Technology Integration

  • Develop and maintain integrated facilities data systems, including asset inventories that capture both building systems and technology infrastructure.
  • Support implementation and optimization of CMMS and other systems, ensuring alignment with IT standards and data governance practices.
  • Analyze work order, maintenance, and project data alongside IT asset and service data to improve operational efficiency and planning.
  • Collaborate with IT to support system integrations (e.g., work order systems, asset tracking, IoT/smart building solutions, networked building systems).
  • Identify opportunities to leverage technology to improve facilities performance, reporting, and preventative maintenance.

Required Qualifications

  • Bachelor’s degree in Facilities Management, Construction Management, Engineering, Business Administration, Information Systems, or related field (or equivalent experience).
  • 3–5+ years of experience in facilities management, property management, IT infrastructure coordination, or a related field.
  • Experience managing projects such as site openings, infrastructure deployments, or capital improvements
  • Strong project management skills (planning, scheduling, execution, risk management)
  • Understanding of both facilities systems and supporting IT infrastructure needs
  • Analytical mindset with ability to interpret operational and systems data
  • Experience working cross-functionally with technical and non-technical teams
  • Strong organizational, communication, and documentation skills
  • Proficiency in Microsoft Office Suite (Excel required)

Preferred Qualifications

  • Proficiency in MS Project or similar preferred
  • Familiarity with NYC regulatory environment (DOB, HPD, FDNY, etc.) preferred
  • Experience with CMMS, asset management systems, or IT service management tools preferred

Schedule

  • Full-time (37.5 hours/week)
  • Monday—Friday, 9:00AM—5:30PM
  • 3 days in the office & 2 days remotely
