About the Signature Partnerships & Events Team
The New York Cares Signature Partnerships & Events (SPE) department is the partnerships and event management team of the Programs division. Frequently on the ground, the department executes volunteer events with excellence, ensuring participants have the best possible service experience in every New York Cares project or event. SPE ensures that our projects and annual events follow volunteer engagement and programmatic best practices, and that all logistics are effectively managed. We build strong relationships with corporate and community partners by consistently stewarding those relationships. We share a belief that all New Yorkers can make a meaningful difference on the most pressing issues our communities face.
Scope of Responsibilities
The Coat Drive Operations Coordinator plays a key role in one of NYC’s largest winter traditions, providing thousands of coats to New Yorkers in need. You’ll support logistics, customer service, and partner communications to ensure a smooth delivery and distribution process for both coat donors and recipients.
General
Monitor and respond to all incoming inquiries via phone and email for the Coat Drive’s inbox and voicemail with excellent customer service.
Oversee the ordering, storage, and distribution of in-kind donations, event materials, and supplies.
Manage the Coat Drive Warehouse, transportation, and distribution processes, ensuring efficiency.
Maintain and analyze databases and provide regular reports to stakeholders on the Coat Drive progress and performance.
Work closely with internal teams and external partners to ensure effective communication and coordination.
Coordinate coat deliveries from partners across New York City and support coat distribution to Community Partners (CPs).
Outreach to coat collection sites.
Schedule and staff sorting and distribution volunteer events in the warehouse; collect partner stories and share feedback.
Staff the midtown warehouse 2–3 times per week to support operations.
Perform additional duties as needed to support the Coat Drive.
Serve as an ambassador and advocate for New York Cares.
Qualifications
A bachelor’s degree and 1+ years’ experience (or high school equivalency and 2+ years’ experience) in project, event, or account management.
Experience working in a nonprofit environment is a plus.
Effective communication skills, with comfortability in-person, via phone and email.
Strong project management and organizational skills. Demonstrated ability to prioritize and plan work activities, use time efficiently, follow instructions, and respond to management direction.
Knowledge of logistics principles, warehousing, transportation, and supply chain management.
Desire to collaborate with team members and cross-departmentally.
Easily and quickly build rapport and trust. Foster good working relationships with internal and external stakeholders, potential clients, and partners.
Professional demeanor, in person, on the telephone, and through written communication.
Ability to work independently and as a member of a team.
Understand social nuances, practices, and world views of people of various backgrounds, identities, and cultures.
Able to occasionally lift materials no heavier than 25 pounds and be prepared for prolonged standing or sitting during volunteer engagements.
Availability to occasionally work weekends or holidays for volunteer engagements.
Broad-based computer skills including Excel, and PowerPoint; Salesforce and QuickBooks a plus.
This seasonal role is not eligible for New York Cares full-time benefits.
