Senior Associate, Project AccountingJob Description:

The Senior Associate of Project Accounting has a comprehensive level of understanding regarding commercial construction cost accounting. This individual is responsible for project finances that are more complex and larger in size. The Senior Associate will be responsible for mentoring and training associates and new Senior Associates. This is an advisory role due to their broad knowledge base.
Responsibilities
CONSTRUCTION COST ACCOUNTING SUBJECT MATTER EXPERTÂ
- Trouble-shooter - Detailed knowledge of JDE processes Â
- Capacity to manage large complex projectsÂ
- Perform all Project Accounting responsibilities (high level)Â
JDE / DATA PROCESSINGÂ Â
- Accounts Receivable Â
- Job Billings – Review for compliance and generate AIA and HITT specific invoicesÂ
- Cash Receipts/Posting – record payments received by clientsÂ
- Collection follow up for invoices past payment termsÂ
- Maintain 3rd party billing portalsÂ
- Process Minor AR write-offs (Signature approval needed from Manager prior to issuance)Â
- Accounts PayableÂ
- Execute subcontractsÂ
- Enter Subcontractor Invoices for approval in JDEÂ
- Review and cost code Supplier invoices for approval in Docusphere Â
- Generate Subcontractor WaiversÂ
- Prepare weekly batches for Subcontractor check runÂ
- Submit subcontractor and supplier NSPRs when requested by OperationsÂ
- Initiate Void Check requests as neededÂ
- Validate SharePoint Void Check Request forms and Void AP Supplier Invoice forms (PA initiates, SPA verifies)Â Â
- Process Subcontractor Check Run (currently managers process the run, future state to include all senior associates on the rotating schedule)Â
- Process Client and/or Subcontractor refunds (signature approval needed from Manager prior to issuance)Â
- Budget SOV ManagementÂ
- Maintain job cost recordsÂ
- Active budget monitoring – track financial performance against the budgetÂ
- Enter budget revisions as necessary Â
PROJECT MANAGEMENT SUPPORTÂ
- Run weekly PM accounting meetingsÂ
- Provide JDE training, testing and support for Ops teamÂ
- General conditions review – analysis on labor overages, remaining budgetÂ
- Cost trend analysisÂ
- Provide Marketing inquiriesÂ
- Provide accurate and timely financial information using the following reportsÂ
- SCCAÂ
- Fee AnalysisÂ
- Job Profit SummaryÂ
- Profit ReportingÂ
- AR AgingÂ
- AP AgingÂ
- Unidentified Costs (UICs)Â
- PRS Metrics (Days to Collect A/R; Days to Close Jobs)Â
- Assist HITT Project Management in tracking all costs associated with complex GMP ProjectsÂ
- Provide month end comments for open A/R, underbilling's and unidentified costsÂ
- Oversee risk management for each project, specifically regarding subcontractors, lien waiver documentation, joint check agreements, subcontractor bonding and proper insurance requirements to mitigate risks, exposure, etcÂ
- Assist Operations with strategic planning/forecasting of project financialsÂ
- Provide training and assistance to support improved understanding of the financial data Â
COMPLIANCEÂ Â
- New Project SetupÂ
- Review supporting documents for validity Â
- Owner Agreement – written authorization from client Â
- Original Budget entered as submitted to the clientÂ
- Review owner contracts to understand requirementsÂ
- Proper Contract (Owner & Subcontractor) Signature authorityÂ
- Provide Client COIs and Bonds when requiredÂ
- Track and maintain insurance certificates to ensure subcontractors are compliant with on-site coverage minimumsÂ
- Organize and maintain Davis Bacon Certified Payroll documentation as requiredÂ
- New Vendor Set UpÂ
- Validate and submit Address Book Setup or Change request forms (PA Associate initiates request, Senior Associate verifies)Â
- Project Close outÂ
- Ensure proper paper and electronic documentation filing for audit purposesÂ
- Assist with year-end project auditsÂ
- Change Order ManagementÂ
- Owner Change Order – Ensure written authorization to perform additional work for the specified amountÂ
- Track and maintain subcontractor insurance coverage is compliant with HITT on-site coverage minimums Â
- Subcontractor WaiversÂ
- Confirm receipt of executed final (and partial if required by project) lien release prior to issuing final payment to SubcontractorÂ
- Perform insurance reviews and other analyses as required for OCIP / CCIP and Subguard (“SDI”) programsÂ
CUSTOMER RELATIONSÂ
- Create and maintain positive working relationships with HITT subcontractors and suppliers Â
PROJECT ACCOUNTING ORGANIZATIONAL SUPPORTÂ Â
- Train & mentor new hires at associate & senior associate levelsÂ
- Provide leadership in peer group activities/initiativesÂ
- Communicate and enforce Project Accounting and Company Policies and Procedures Â
Qualifications
- Bachelor’s Degree in Finance, Accounting or Business with strong Accounting experience preferredÂ
- Two (2) to five (5) years of accounting experienceÂ
- Experience with JD Edwards or other comparable ERP solutions is preferredÂ
- Ability to lift boxes weighing up to 30 poundsÂ
- Thrives in a fast paced environmentÂ
- Identify and propose ideas for process improvementÂ
- Good verbal and written communication skillsÂ
- Ability to establish and maintain productive working relationships with othersÂ

In accordance with New York City Human Rights Law (NYCHRL), Local Law 32, the base salary range for this position is:
$84,700.00 - $123,200.00Compensation in other cities and states may vary. The determination of salary is based on the candidate’s individual professional experience, qualifications, education, skills, and training.
