POSITION OVERVIEW:
The Vending Operations Coordinator is accountable for the strategic management and seamless execution of daily vending operations. This role oversees warehouse inventory, route preparation, and the operational readiness of vending machines and service vehicles. The Coordinator ensures that all machines are fully stocked, clean, and operational while maintaining service vehicles in optimal condition. Additionally, this position directs staff activities, coordinates route schedules, and supports operational teams to deliver efficient, high-quality vending services in full compliance with company policies, safety standards, and best practices.
KEY ESSENTIAL FUNCTIONS:
- Oversee the daily receipt, storage, and distribution of vending products, including snacks, beverages, and machine components.
- Maintain accurate inventory levels using warehouse management or vending inventory systems and implement proper stock rotation to ensure product quality.
- Coordinate staging, preparation, and loading of products for route drivers to ensure timely and efficient replenishment.
- Monitor and document shortages, overages, damaged goods, escalating issues and communicating inventory needs to management.
- Place replenishment orders and coordinate with management to maintain uninterrupted supply.
- Ensure the warehouse is clean, organized, and compliant with safety and operational standards.
- Manage inventory of vending machine components, including coin mechanisms, bill validators, card readers, and other essential parts.
- Train, mentor, and guide warehouse associates on operational procedures, safety, and best practices.
- Collaborate with operations and service teams to optimize route schedules and ensure seamless service delivery.
- Conduct regular inspections to maintain vending machines in a clean, fully functional, and properly stocked condition.
- Oversee assigned service vehicles, ensuring they remain operational, clean, and fully equipped for daily use.
- Supervise vending machine locations, ensuring accurate stocking, maintenance, and operational functionality across all sites.
- Collect and reconcile revenue on a bi-weekly basis, maintaining accurate financial documentation.
- Prepare and submit detailed reports on inventory levels, variances, usage trends, and operational metrics.
- Conduct daily site visits (Monday through Friday) alongside the Vending Operations Clerk to all scheduled locations, ensuring timely replenishment, operational integrity of vending machines, and overall asset functionality.

REQUIREMENTS:
- High school diploma or equivalent; relevant certifications preferred.
- Valid New York State driver’s license.
- 2–5 years of experience in warehouse, inventory, or route-based operations, preferably in vending or food & beverage.
- Knowledge of inventory management principles, including FIFO, cycle counts, and expiration control.
- Experience coordinating warehouse activities, staging, and route support.
- Ability to supervise, train, and guide warehouse staff effectively.
- Proficiency in warehouse/inventory systems and Microsoft Office.
- Strong organizational, problem-solving, and communication skills.
- Ability to lift 25–30 lbs. and perform extended physical tasks on the warehouse floor.
- Familiarity with food safety, sanitation, and proper product handling.
- Ability to operate warehouse equipment safely (pallet jacks, forklifts preferred).
- Flexible, reliable, and committed to workplace safety and operational accuracy.
- Experience with bi-weekly revenue collection and financial documentation.
