Role Summary:Ā The Office Manager willĀ be responsible forĀ organizing and coordinating office operations and proceduresĀ in order toĀ ensure effectiveness and efficiency in the daily workflow, within the scoop of the administrativeĀ assistanceĀ ofĀ daily office activities. The assistant will perform duties such as arranging meetings, scheduling appointments, keeping the office calendar, answeringĀ telephones,Ā and editing correspondence. Responsibilities may also include trackingĀ purchasingĀ supply and managing the supply room. In addition, staffĀ isĀ encouraged to be crossed trained andĀ understandĀ job functions within their designated unit.


Primary Job Responsibilities/Duties:Ā 

The Office ManagerĀ is responsible for, but not limited to:

  • Oversee all aspects of general office coordination
  • Responsible inĀ maintainingĀ open communication between units via reporting structure
  • Maintain confidentiality in all aspects of resident,Ā staffĀ and agency information
  • Interact with residents,Ā vendorsĀ and visitors
  • Answer telephones and transfer toĀ appropriate staffĀ member
  • Maintain administrative calendars
  • Distribute incoming correspondence, including faxes and email
  • Sign for and distribute UPS/FedEx or similarly delivered packages
  • Perform general clerical duties to include, but not limited to, copying, faxing,Ā mailingĀ and filing
  • File and retrieve organizational documents,Ā recordsĀ and reports
  • Provide coverage for other areas as directed/needed
  • Reviewing and approving office supply acquisitions, handling customerĀ complaintsĀ and inquiries
  • Liaising with other groups, agencies, and organizations
  • Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning andĀ monitoringĀ clerical functions.
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Keeps management informed by reviewing and analyzing special reports; summarizing information;Ā identifyingĀ trends
  • Contributes to team effort byĀ accomplishingĀ related results as needed
  • Responsible for petty cash

Physical Requirements:

  • Ability to walk, stand, kneel, crouch, and bend over.Ā 
  • Ability to lift, reach, and handle objects weighing up to 25 pounds.Ā 
  • Ability to sit at a desk and work on a computer for prolonged periods.Ā 
  • Ability to travel toĀ different locationsĀ within New York City, as needed.


Work Environment / Schedule Requirements:

  • Staff must continue working past their shift unless relieved by another staff member or authorized to leave by a supervisor.Ā Ability to sit at a desk and work on a computer for prolonged periods.Ā 
  • May beĀ requiredĀ to work on or during evenings, weekends, and holidays.Ā Ā 


Qualifications:Ā 

  • Minimum of anĀ associate degreeĀ or 3 years of experience in related field
  • ProficiencyĀ in software applications
  • Proven ability to work collaboratively well with diverse groups
  • Proven ability to handle multiple tasks effectively under pressure
  • Strong organizational skills, detail-oriented, and efficient
  • Must be able to read, speak, write, and understand English for administrative purposes.
  • Must pass drug screening to be appointed.
  • This position may be subject to a series of investigations before and after appointment.
