The Foundation & Community Engagement team serves as the community and philanthropic arm of the New York Mets. Within the department lives the Amazinā Mets Foundation, which is ācommitted to providing needed services and opportunities to children, families, and under-served groups in our neighborhoods and communities.āĀ

Essential Duties and Responsibilities:Ā
TheĀ Office CoordinatorĀ positionĀ is responsible forĀ administrative andĀ officeĀ support for the Foundation & Community Engagement team. This position will work closely with the entire Foundation & Community Engagement team to support the work that theyĀ doĀ to enhance and build the teamās investment in the surrounding community. The candidate should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. In addition, they should have the ability to multitask, manage complex schedules, and meet changing deadlines.Ā

Specifically, you will:Ā
Provide administrativeĀ andĀ logistical/eventĀ support forĀ theĀ departmentĀ staff
Manage Amazinā Mets Foundation and Community email inboxes and Community phone line,Ā ensuringĀ timelyĀ follow-up, resolution, or referral to theĀ appropriate stakeholder
Coordinate team schedules, meetings, conference room bookings, and connectivity to the broader Mets organization and external partners
Receive,Ā organizeĀ and catalog incoming mail;Ā facilitateĀ outgoing shipments and mail packages for department staff
CoordinateĀ travel plans and schedules for managers and team members and process expense reports
ArrangeĀ in-kind and material donations to community groupsĀ and provideĀ administrative support for the MetsĀ ticket donation initiatives
AssistĀ with responding toĀ teamĀ techĀ or facilityĀ related issues and other miscellaneous items
HandleĀ document formatting, copying, filing, andĀ management ofĀ email and written communications as needed
Organize and prepare for meetings, includingĀ gatheringĀ materials,Ā creatingĀ andĀ distributing meeting agendasĀ and documents, andĀ managing meetingĀ logistics
Interact professionally with a wide range ofĀ individuals, including high-profileĀ contacts and all levels ofĀ management
Provide administrative event support, such asĀ booking event spaces,Ā preparing event materials,Ā coordinating catering, and event personnel
Perform other administrative and office-related duties asĀ assignedĀ

Qualifications:Ā
Bachelorās degree or equivalentĀ required
2-3Ā years ofĀ provenĀ work experienceĀ in anĀ administrative support role such as an Administrative Assistant, Executive Assistant, Office Coordinator, or similar position
Professional demeanor withĀ exceptionalĀ organizational, planning and communication skillsāÆto develop andĀ maintainĀ relationships withĀ internal colleagues and externalĀ partners
Strong attention to detail and ability to structure work efficiently
ExcellentĀ verbal and written communication skills; including ability to communicate with a variety of constituent groups such as senior management, peers, and outside contacts
Adept at multitasking with ability to prioritize and handleĀ competing prioritiesĀ at any given time whileĀ maintainingĀ commitment to deadlines
Curious and forward-thinking, with strong research skillsĀ and willingness to adopt AI tools to enhance productivity and improve workflows
Must have knowledge andĀ proficiencyĀ in Microsoft Office andĀ anĀ ability to navigate technology, including knowledge ofĀ WorkdayĀ Management System.Ā Knowledge of Salesforce, Canva, and Asana a plus
Knowledge of non-profit landscape is a plusĀ

Salary Range: $52,000 - $60,000, which does not include discretionary bonus compensation or our comprehensive benefits package. Actual compensation offered to the successful candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level, among other things.
