Navolio & Tallman LLP is seeking a highly organized and professional Part-Time Administrative Assistant to support our New York office. We are looking for someone who takes pride in creating a welcoming and efficient office environment while ensuring day-to-day operations run smoothly. This position is ideal for someone who enjoys wearing multiple hats, staying organized, and serving as the first point of contact for visitors, clients, and team members.Â

Position ResponsibilitiesÂ
- Serve as receptionist for the New York officeÂ
- Greet clients and visitors, ensuring a welcoming and professional experienceÂ
- Answer and direct incoming phone calls and emailsÂ
- Manage conference room scheduling and meeting preparationsÂ
- Maintain office organization, appearance, and common areasÂ
- Coordinate office supplies, equipment, and vendor relationshipsÂ
- Receive, sort, and distribute incoming mail and packagesÂ
- Assist with document preparation, scanning, filing, and recordkeepingÂ
- Coordinate staff lunches, office events, and employee celebrations as neededÂ
- Support onboarding logistics for new hires, including workspace preparation and office orientationÂ
- Provide general administrative support to partners and team membersÂ
- Help ensure smooth day-to-day office operationsÂ
- Demonstrate a commitment to continuous learning, adaptability, and flexibility by embracing new responsibilities, processes, and changing business needs.Â
Requirements
Â
- 2+ years of administrative, office coordinator, receptionist, or executive support experience preferredÂ
- Professional demeanor and excellent customer service skillsÂ
- Strong organizational and time management abilitiesÂ
- Excellent verbal and written communication skillsÂ
- Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams)Â
- Experience managing competing priorities and deadlinesÂ
- Ability to work independently and proactively identify office needsÂ
- Reliable, detail-oriented, and committed to providing exceptional supportÂ
