BASIC FUNCTION:

Coordinate the transition of physical files into electronic format(s). Work with HR Management to identify documents that surpassed legal retention period and secure destruction/shredding. This role focuses on maintaining data integrity, optimizing archival workflows, and ensuring that critical information is searchable and secure. Must be able to lift 20lbs, onsite presence is required for this role.


WORK PERFORMED:

  • Assist team with identifying files for digitization and data entry. Conduct regular reconciliations between physical inventories and digital manifests to ensure no record is lost during the conversion process.
  • Sort and index hard-copy files in preparation for digitization. Establish and document "Standard Operating Procedures" (SOPs) for file naming, searchable folder structures, and metadata tagging to ensure consistency.
  • High-volume of scanning and ensuring image clarity. Performing basic quality control.
  • Identify and follow up with HR colleagues for missing documents.
  • Data Entry; load data and document details into the HR Information management system with 100% accuracy.
  • Coordinate the lifecycle of physical records from initial intake and preparation to final digital storage and physical destruction/return.


MINIMUM REQUIREMENTS:

Education Level required: High School Diploma or equivalent, Two-year college degree preferred.

Relevant experience required: 2 years’ experience with document conversion projects. Experience with ADP Workforce Now and cloud storage organization highly preferred. Experience handling sensitive documents or working within an HR/Legal department highly preferred.

Knowledge required: A detail-oriented professional dedicated to the seamless transition of physical records into high-quality digital assets. Strict adherence to HR Privacy Standards (including HIPAA, GDPR, or CCPA where applicable).
