About the Role

We’re looking for a temporary Senior Executive Assistant to support Ryan Harwood, CEO of Gallery Media Group. This role is a true partnership: you’ll provide operational, administrative, and personal support while maintaining the highest level of discretion. The ideal candidate is highly organized, proactive, adaptable, and able to seamlessly anticipate and manage executive priorities.

This role is a temporary four-month assignment supporting the CEO, with potential to be hired full time within VaynerX. 

What You’d Do:

  • Efficiently manage executive priorities, identify potential roadblocks, calendar maintenance, appointments, and travel itineraries to optimize daily schedules.
  • Schedule, prepare materials for, and attend meetings as requested by the Executive.
  • Make travel arrangements both domestic/international, including booking flights, accommodations, and transportation for the Executive as needed.
  • Prepare and submit monthly expense reports in Concur with accuracy and attention to detail.
  • Draft, review, and edit documents, and proactively identify ways to streamline workflows and improve operational efficiency.
  • Coordinate logistics for in-office meetings, team events, and client engagements, including conference room bookings and related support.
  • Assist with onboarding initiatives and internal projects, supporting smooth operational workflows.
  • Serve as a key point of contact across the organization, facilitating effective communication and coordination.

What You’ve Got

  • 5+ years supporting executive-level leaders, ideally in fast-paced, creative, or media environments.
  • Advanced aptitude with G Suite (Google Workspace), Microsoft Office, Slack, and Video Conferencing Software
  • Strong experience in calendar management, travel coordination, and expense reporting (Concur).
  • Ability to work independently, prioritize tasks, and meet deadlines with little supervision
  • Able to handle sensitive and confidential information with the highest level of discretion and integrity
  • Excellent written and verbal communication skills, with a strong attention to detail.
  • Creative problem-solving skills and is proactive in identifying ways to improve outcomes
  • Operates with the highest level of personal integrity and ethics
  • Ability to manage multiple projects at the same time with varying deadlines
  • Comfort with ambiguity and proven ability to create clarity

The base pay range for this role is $2,000–$2,400 per week.
