ACCOUNTING SPECIALIST

Position Purpose
The Accounting Specialist performs professional accounting responsibilities supporting the Bureau's accounts receivable, payroll, and general accounting functions. The position processes financial transactions, prepares journal entries, maintains accounting records, assists with financial reporting, and provides responsive customer service to internal and external stakeholders. The Accounting Specialist contributes to the efficient operation of the Finance & Accounting Department through accurate, timely, and professional financial administration.

Responsibilities
Accounts Receivable & Payroll
- Administer the Bureau's accounts receivable function, including assessments, billing, cash receipts, collections, and customer account maintenance.Â
- Process and reconcile cash receipts and deposits.Â
- Prepare customer invoices and monitor outstanding receivable balances.Â
- Administer payroll processing, payroll tax reporting, and employee reimbursement activities.Â
- Prepare year-end payroll reporting, including W-2 documentation.Â
- Respond to inquiries regarding billing, payroll, and routine accounting matters.Â
General Accounting
- Prepare journal entries related to assigned accounting responsibilities.Â
- Maintain accounting records and supporting documentation.Â
- Prepare account reconciliations and investigate routine discrepancies.Â
- Assist with maintenance of the general ledger and financial records.Â
- Ensure accounting transactions comply with Bureau policies and established procedures.Â
Financial Operations
- Assist with month-end and year-end close activities.Â
- Prepare supporting schedules and documentation for financial reporting and audits.Â
- Assist with implementation of accounting procedures and internal controls.Â
- Provide backup support for accounts payable and other departmental responsibilities as assigned.Â
Customer Service
- Provide courteous and professional service to employees, member carriers, vendors, and other stakeholders.Â
- Coordinate with internal departments to resolve accounting-related questions and issues.Â
- Maintain the confidentiality of financial, payroll, and personnel information.Â
- Perform other duties as assigned in support of departmental and organizational objectives.Â
Qualifications & Competencies
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred; equivalent combination of education and experience will be considered.Â
- One or more years of accounting, bookkeeping, payroll, or related financial experience preferred.Â
- Knowledge of basic accounting principles and financial recordkeeping.Â
- Experience with accounts receivable, payroll, or general accounting functions preferred.Â
- Strong organizational, analytical, and problem-solving skills.Â
- Excellent written, verbal, and interpersonal communication skills.Â
- Proficiency with Microsoft Excel, Microsoft Office applications, and financial management systems.Â
- Ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.Â
Physical Requirements
- Prolonged periods of sitting and working at a computer.Â
- Frequent use of a computer, keyboard, and telephone.Â
- Ability to occasionally lift and carry materials weighing up to 15 pounds.Â
