Exceptions Processing Coordinator

 

Accounting Operations | Refund Processing | Account Reconciliation | Chargebacks | Excel | Hybrid

 

The Exceptions Processing Coordinator is responsible for processing customer refunds, researching account activity, supporting reconciliation activities, and resolving payment-related discrepancies.

 

This role works closely with internal teams to ensure accurate financial records, timely refund processing, and a positive customer experience. The ideal candidate has experience in financial services, accounting operations, payment processing, customer account management, and data analysis, with strong attention to detail and proficiency in Microsoft Excel.

 

Key Responsibilities

  • Process open and closed account refunds accurately and timely for customers.

  • Research customer account history, financial transactions, and payment activity to resolve inquiries and discrepancies.

  • Maintain detailed account documentation and notate customer records as needed.

  • Generate and review daily production reports, operational reports, and end-of-day balancing reports.

  • Assist with daily and monthly account reconciliations, including issued and outstanding checks.

  • Investigate and respond to chargeback disputes, returned checks, and payment exceptions.

  • Adjust customer account balances and ensure financial records remain accurate and compliant.

  • Identify discrepancies and work with internal teams to resolve accounting and payment-related issues.

  • Support continuous improvement efforts related to refund processing, reconciliation activities, and financial controls.

  • Maintain confidentiality and accuracy when handling financial and customer information.

 

Required Qualifications

  • High School Diploma or equivalent.

  • Minimum of two (2) years of experience in a financial services, accounting, banking, payment processing, accounts receivable, customer service, or related role.

  • Strong proficiency with Microsoft Office Suite, particularly Microsoft Excel, including reporting and data analysis functions.

  • Experience researching account activity and resolving customer or financial inquiries.

  • Strong analytical, organizational, and problem-solving skills.

  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.

  • Ability to work effectively in a remote work-from-home environment.

  • Ability to travel to the office as business needs require.

 

Preferred Qualifications

  • Associate's degree or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

  • Experience with account reconciliation, refund processing, chargebacks, payment operations, banking operations, or financial transaction processing.

  • Experience working with financial systems, accounting platforms, or customer account management systems.

In addition to base pay, this position, based on business need, may be eligible for a bonus or incentive.
