Overview

About the Role

The primary purpose of the Manager HIM Operations position is to provide comprehensive management of the medical record imaging services for University Hospital which includes the retrieval, prepping, indexing, scanning, and analysis of patient medical records while monitoring quality and productivity. The Manager HIM Operations maintains imaging process control and continuous improvement through staff management and development, the extraction of data from systems, database creation and maintenance of reporting information, data analytics and report creation for presentation to HIM leadership.

 

Responsibilities

What You’ll Do

  • Oversees all medical record imaging operations for University Hospital, including document retrieval, preparation, indexing, scanning, and record analysis.
  • Ensures the accuracy, quality, and timely processing of patient medical records while monitoring departmental productivity and performance metrics.
  • Maintains imaging workflow controls and drives continuous process improvement initiatives to enhance operational efficiency and service quality.
  • Provides leadership, supervision, coaching, and professional development for HIM Operations staff.
  • Manages data extraction from multiple systems to support operational tracking, reporting, and decision-making.
  • Develops and maintains databases and reporting tools to monitor key performance indicators and departmental outcomes.
  • Performs data analysis and prepares comprehensive reports and presentations for HIM leadership.
  • Ensures compliance with organizational policies, regulatory requirements, and Health Information Management best practices.
  • Identifies opportunities to improve workflows, optimize resources, and enhance the overall medical record imaging process.
  • Collaborates with leadership and cross-functional teams to support strategic initiatives and operational objectives within the HIM department.

 

 

Qualifications

What You’ll Bring

  • Bachelor’s degree in Health Information Management or a related field required; equivalent education and experience may be considered in lieu of a degree.
  • Minimum of three (3) years of medical records experience required.
  • Minimum of two (2) years of supervisory or leadership experience required.
  • RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) certification preferred.
  • Prior experience with Epic Electronic Health Records (EHR) is preferred.
  • Strong verbal and written English communication skills required.
  • Detail-oriented, highly organized, and committed to maintaining accuracy in all aspects of work.
  • Ability to work effectively both independently and collaboratively within a team environment.
  • Proficient in Microsoft Office applications, including Excel, Outlook, and shared file management tools.
  • Strong computer skills with the ability to navigate and utilize internet-based applications and systems.
  • Demonstrated professionalism, tact, diplomacy, and excellent customer service when interacting with internal and external stakeholders.
  • Excellent analytical and critical-thinking skills with the ability to identify, evaluate, and resolve complex issues.
  • Ability to visualize, interpret, and analyze detailed information to determine appropriate solutions and record merges.
  • Skilled in gathering, integrating, and evaluating information to support effective decision-making and problem-solving.
  • Capable of identifying and resolving issues related to document imaging and medical record management processes.
  • Ability to make timely, informed decisions while balancing facts, objectives, risks, and operational constraints, often with limited management guidance.
  • Strong ability to develop practical solutions and drive continuous process improvements within Health Information Management operations

Compensation

In compliance with New Jersey’s Pay Transparency Act, the salary range for this position is VS/24S: $75,537 - $113,310 per year per year. University Hospital considers multiple factors when determining compensation, including (but not limited to) the scope and responsibilities of the position, the candidate’s relevant work experience, education and training, key skills, internal equity, market data, and organizational needs. The expected salary range for this position is in accordance with the New Jersey Pay Transparency Law; final compensation will be commensurate with experience and qualifications.
