Job DetailsJob Location: Santa Clarita, CA 91355Salary Range: $28.67 - $31.43 HourlySUMMARY The Assistant Director of Operations and IT Support serves as front-line support as well as providing critical on-the-ground support for VCFA’s twice-yearly residencies and other conferences. The Assistant Director of Operations and IT Support reports to the Director of Operations for Vermont College of Fine Arts (VCFA), an Affiliate of CalArts, and works closely with the California Institute of the Arts larger help desk team. The Assistant Director works across multiple projects and departments and is expected to manage the demand for multiple purviews, including but not limited to: support requests assigned by the California Institute of the Arts help desk teamn-person event support with a particular focus on residencies, and support for other VCFA-specific technologies. Note: this position requires proximity to the California Institute of the Arts campus on a regular basis. It is a hybrid-eligible position. ESSENTIAL JOB FUNCTIONS: TECHNICAL SUPPORT: Act as primary end point systems administrator for VCFA systems, databases, and licenses, as they operate under CalArts information management systems. Helps, in conjunction with CalArts staff, manage systems including but not limited to: Google Workspace, RapidIdentity, and Active Directory, Cvent, Jotform, and BetterCloud. Act as the first point of contact for VCFA technology needs from and solutions to the community. In collaboration with Program Chairs, support, manage, and maintain the VCFA Commons, based on Wordpress. Maintain an accurate inventory of all VCFA technology, including those dedicated to residency, such as laptops, projectors, projector screens, adaptors, external conference mics, webcams, and other peripherals. Coordinate inventory management with CalArts Customer Care, as needed. Manage the VCFA Google Voice phone environment. Manage the VCFA Google Workspace environment. Work closely with the CalArts Customer Care support team on resolving support requests, coordinating inter-institutional projects and efforts, documentation and training, and managing computers. OPERATIONAL SUPPORT: Assist the Operations team to coordinate and schedule the onsite IT support of the College’s bi-annual 9 day on-campus and virtual residencies, as well as other on campus and virtual VCFA events. On campus events are held at the CalArts campus in Valencia, CA Facilitate the planning and implementation of any unique IT/AV related needs as they pertain to residency events. Working with the Director of Operations, hire and train seasonal personnel on college AV and internal web-based systems to support in-person College events, both remotely and on the Valencia campus. Serve as lead administrator for residency support, including the technical build-out and management of residency events in Cvent. Coordinate with the Chief Academic Officer, Director of Operations, Executive Director of Administrative Services Team, academic programs, and Student Services on residency registration, websites, apps, communications, attendee tracking, residency schedules, -, and post-event feedback across VCFA systems. Provide prompt and efficient frontline IT/AV support for college events across disciples and Valencia teaching spaces. Coordinate with CalArts IT support to ensure rooms and event spaces are outfitted with any IT/AV equipment necessary, as scheduled, requested, or discussed prior to the start of residency. Other duties as assigned by the Director of Operations to support overall VCFA operations. QualificationsQUALIFICATIONS: Exceptional customer service skills. Strong writing skills; proficiency in documentation-writing preferred. Proven ability to communicate effectively with end users on a variety of topics. Experience serving as the primary IT point of contact for a defined community. Experience supporting AV + live event/residency operations. Proven ability to maintain and manage inventory. Strong technical troubleshooting skills Familiarity with security and privacy best practices. Familiarity with Wordpress and website management (e.g. SSL certificates) preferred. Ability to manage multiple priorities.
