The Gentle Barn Foundation is seeking a highly organized, proactive, and detail-oriented Operations Coordinator to support the daily administrative, financial, and operational functions of the organization. This role is ideal for someone who thrives in a fast-paced, mission-driven environment and takes strong ownership of their work. The Operations Coordinator will play a key role in supporting financial processes, managing accounts and vendors, and collaborating cross-functionally to ensure smooth and efficient operations across the organization. This is a non-exempt, full-time, hybrid position requiring 1–2 days per week in the office and reporting to the Director of Operations & HR.

RESPONSIBILITIES: 

Financial Operations

  • Support budgeting and forecasting processes 
  • Assist in preparing and reviewing P&Ls and other financial reports 
  • Manage and track expense reports 
  • Maintain accurate financial documentation and records 

Accounts Management

  • Coordinate and manage vendor relationships 
  • Resolve account discrepancies and respond to inquiries
  • Create, track, and manage deadlines for business renewals to ensure timely compliance
  • Oversee insurance policies and renewals 
  • Assist with banking activities 
  • Support management and organization of business contracts 
  • Maintain organized records of operational accounts and documentation 

Project Management

  • Support project management initiatives across departments 
  • Collaborate cross-functionally to ensure alignment and efficiency 
  • Track tasks, timelines, and deliverables across multiple projects 

General Support

  • Perform additional duties as assigned to support organizational needs

QUALIFICATIONS:

  • Bachelor’s degree strongly preferred
  • Minimum 3 years of Operations or Administrative experience 
  • Highly tech-savvy with strong proficiency in Excel and operational systems 
  • Proficient in using various systems, tools, and technologies for effective data management
  • Strong understanding of financial documents (P&Ls, budgets, forecasting)
  • Excellent verbal and written communication skills
  • Highly organized with strong attention to detail
  • Proactive mindset with a strong sense of ownership and accountability
  • Must be capable of working both independently and as part of a team
  • Proven skills in interfacing with a wide range of professionals
  • Ability to exemplify both discretion and confidentiality
  • Ability to prioritize and manage multiple tasks in a fast-paced environment

PREFERRED QUALIFICATIONS:

  • Experience with nonprofit IRS Form 990 reporting is a plus
  • Spanish (bilingual) is a plus
