General Definition of Work

Performs difficult skilled administrative support work assisting in the administration of human resources programs and duties, including recruiting, employee relations, benefits administration, employee records, training and other related work as apparent or assigned. Work is performed under the limited supervision of the assigned Department/Division Director, or designee.

 

Qualification Requirements

Essential Functions

Assists with daily verification of payroll information. 

Serves as back-up payroll coordinator.

Assists with the correct and efficient execution of HR documents, including discipline, employment separation, leave and leave status.

Responsible for maintaining accurate records with state pension office as required. 

Responsible for updating and maintaining social media accounts to include Facebook, Instagram, and others under the ultimate direction of the county Communications Division. 

Process department Open Record Requests in accordance with governing laws.

Assists with the planning, coordination and execution of various employee-based activities and programs while ensuring deadlines and budgets are met. 

Assists with new employee onboarding and orientation through established in-processing systems to verify accuracy of documents and performs entry of new hire documentation into various information and scheduling systems and reports all new hires to appropriate licensing agencies.

Coordinates employee probationary status documentation.

Assists in the coordination and preparation of periodic, special and other mandated reports; collects information from a variety of sources and compiles data; processes requests for information and reports; disseminates collected and compiled information to appropriate parties; tracks various actions and activities to ensure completion.

Serves as first point of contact for department employees who seek information or have questions pertinent to Coweta Fire Rescue. 

Assists with processing department invoices.

Answer and route incoming telephone calls.

Receive and distribute mail and deliveries.

Greet visitors and assist the public.

Maintains personnel and other files. 

Encourages and promotes a culture of excellent service.

 

Knowledge, Skills and Abilities

Thorough knowledge of the philosophy, principles and practices of public personnel administration; thorough knowledge of the County's policies, practices and procedures; through knowledge of social media; thorough knowledge of standard office practices, procedures, equipment, software and office support techniques; general knowledge of HRIS system, preferably ADP Workforce Now; proficiency in Microsoft Office Suite with advanced skills in Excel and Word; ability to communicate ideas effectively, both orally and in writing; ability to conduct detailed evaluations and studies and to prepare related reports and recommendations; ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations; ability to maintain the confidentiality of personnel information and files for employees and applicants; ability to establish and maintain effective working relationships with other department, County officials, associates and the general public.


Education and Experience

High school diploma or GED and significant experience in administrative support, record maintenance, or equivalent combination of education and experience. 


Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting and using hands to finger, handle or feel, frequently requires speaking or hearing and occasionally requires standing and walking; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).


Special Requirements

HR experience highly preferred.

Ability to obtain Notary Public

Favorable background history as determined by review of local, State and Federal records.

Valid driver’s license in the State of Georgia with a favorable driving history (MVR).
