Payroll Specialist & Human Resources Assistant

We are seeking a detail-oriented, organized, and reliable Payroll & HR Assistant to join our team. This role focuses heavily on the full-cycle payroll processing while providing vital support to our Human Resources department. The ideal candidate has strong mathematical accuracy, an understanding of payroll tax regulations, and the ability to maintain the highest levels of confidentiality.

Key Responsibilities

Payroll Administration

  • Review daily timecards to identify and resolve errors before processing.
  • Process full-cycle payroll, including managing direct deposits and distributing paper checks. Maintain organized records of payroll transactions and compensation.
  • Investigating and resolving payroll discrepancies or employee inquiries.
  • Handle weekly calculations including wages, overtime, bonuses and submissions for payroll tax payments and 401K contributions.
  • Manage certified payroll jobs within the system, submit compliance documentation to appropriate parties, and communicate with clients regarding certified payroll requirements.
  • Gather and process multi-state tax forms for employees working outside of Georgia.
  • Process specific employee payroll deductions, including entering child support or other required legal withholdings and other court-ordered deductions..
  • Manage job site logistics, including organizing out-of-town room setups and processing per-diem checks.
  • Internal monthly/weekly payroll audits including employee rosters, hours and pay, taxes and deductions along with financial reconciliation.
  • Import equipment tracking data to ensure overall data accuracy.
  • Remotely deposit business checks efficiently as they are received. 
  • Excellent time-management skills to ensure employees receive timely payments.

Human Resources Support

  • Manage employee leave requests, ensuring all employee time off is accurate.
  • Assist in maintaining company HRIS systems to guarantee all personnel data remains accurate and fully up to date.
  • Coordinate company-wide safety tracking, including sending out calendar invitations for monthly safety meetings and training sessions.
  • Execute employment verifications for current and former team members.
  • Track weekly absences and compile designated weekly signature reports.
  • Assist with recruiting efforts by publishing active job openings across company social media channels and various job boards.
  • Provide administrative support during the employee performance evaluation process, on-boarding, off-boarding, and other duties as needed.
  • Oversee employee inventory management, including collecting sizes, ordering apparel, and distributing company shirts. 
Role Requirements
  • Experience: Minimum of 2–3 years of hands-on payroll processing experience. Experience in the construction or contracting industry with Certified Payroll/OCIP is required. 
  • Technical Skills: Proficiency with Human Resources Information Systems (HRIS) and modern cloud-based payroll software.
  • Regulatory Knowledge: Solid understanding of payroll tax laws, such as quarterly/monthly/weekly reporting and Georgia state regulations and multi-state compliance. Knowledge of deductions and withholdings. 
  • Organizational Skills: Exceptional attention to detail when reviewing numbers and compliance documentation. Experience in conducting audits to ensure compliance.
  • Communication: Clear verbal and written communication skills to handle direct outreach with clients and employees regarding payroll or scheduling questions.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds.
