General Definition of Work

Performs intermediate skilled administrative support work assisting with the accurate registration of voters; maintaining a knowledge of the Statewide Voter Registration System, answering inquiries concerning voter registration laws, providing information to the public concerning registration and voting, preparing, updating and maintaining voter records and files, and related work as apparent or assigned. Work is performed under the moderate supervision of the Voter Registration Coordinator. 


Qualification Requirements

Essential Functions

Ensures that the method of voting and the right to register to vote in Coweta County is as provided for in the Constitution of the State of Georgia. Ensure 100% accuracy of registrations, records maintenance and election procedures to ensure validation of election results. 

Conducts all tasks related to maintenance of accurate voter registration cards and other materials required by the registration and election process

Ensures accurate processing of registration applications received from voters by mail, in person, and via the statewide voter registration system. 

Determines the residence of the voter or candidate; requiring accuracy to ensure the voter can vote and the candidate is able to campaign for the correct office.

Provides customer service for voter information and queries regarding voter registration policies and procedures; verifies the paperwork and processes/issues voter photo identification cards and voter registration certificates; aids voters in locating and using online tools; discerns when a voter or issue should be escalated to management.

Ensures completed registration cards and papers of the board are secured and maintained in the main office; ensures record retention schedules comply with local, State and Federal laws; maintains office files, accounts, and other records.

Assists with voter list maintenance who have moved, deceased, mentally incompetent, and felon per the reporting feature in the statewide voter registration system and other reporting methods.

Assists with credit for voting by qualified electors to the Secretary of State within 60 days of a primary or election for the purpose of maintaining the list of electors and voter history.

Maintains current knowledge of the changing laws, guidelines, and mandates set forth by the Georgia Secretary of State, Georgia legislation, Georgia State Election Board, and federal government in relation to voter registration and the election process; ensures the department’s compliance in accordance with all federal, state and local regulatory standards, ordinances, laws and requirements.

Assists with the issuance of provisional ballots and ensures voters have received the correct ballot based on their registered address.

Acts as receptionist; greets visitors; directs visitors to appropriate party.

Performs customer service to the public and handles inquiries or complaints in person or by telephone; forwards calls to appropriate party.

Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.

Serves as liaison for voters, and elected officials; maintains current knowledge of Federal, State, and local laws governing the elections process for both County and municipal elections.

Types a variety of documents including correspondence, forms, reports, etc. where a knowledge of format and presentation is necessary; answers routine correspondence independently.

Assists in the coordination and preparation of periodic, special, and other reports; collects information from a variety of sources and compiles data.

Prepares and maintains a variety of office files, accounts, and other records.

Receives, sorts, processes, and distributes incoming and outgoing mail; assists with large mailings.

Flexible and willing to assist in other areas of Elections as needed.

Encourages and promotes a culture of excellent customer service.


Knowledge, Skills and Abilities

Knowledge of related industry, organization and department policies, practices and procedures; knowledge of related industry, organization and departmental legal guides, recommendations, best practices, ordinances and laws; thorough knowledge of the Georgia constitution, the Georgia Election Code Book, and Georgia State Election Board Rules; thorough knowledge of voter registration processes; general knowledge of voter lists and state reports; thorough knowledge of standard office equipment and software; general knowledge of state voting equipment; thorough knowledge of GARVIS-State System; ability to alphabetize; ability to make arithmetic computations using whole numbers, fractions and decimals; ability to compute rates, ratios, and percentages; ability to establish and maintain effective working relationships with associates, vendors, and the general public


Education and Experience

High school diploma or GED and moderate experience in administrative support and office operations including registration and election processes.


Physical Requirements

This work requires the regular exertion of up to 25 pounds of force and the occasional exertion of additional force; work regularly requires speaking or hearing, using hands to finger, handle or feel and repetitive motions, frequently requires sitting and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).


Special Requirements

Completion of required State training and ability to obtain state County Registrar Certification 

Possession of current County Voter Registration.

Favorable background history as determined by review of local, State and Federal records.

Valid driver's license in the State of Georgia with a favorable driving history (MVR).

Must be available to work weekends and nonstandard hours.

Must exhibit a professional demeaner/attire and must remain nonpartisan.
